Job Summary
The Federal Reserve Bank of Boston is looking for a Senior Administrative Assistant to support the Bank's legal team by performing a wide variety of tasks including scheduling, coordinating, word processing and data entry; coordinating travel requests and itineraries; maintaining documentation for contracts, expenses, purchase orders and invoices; and other administrative support activities for the legal department.
Principal Accountabilities
  • Maintain complex and highly confidential files, including on- and off-site storage of legal documents and the Legal Department's matter management system
  • Assist the Legal Department with the creation of documentation, especially with nonroutine word processing requests such as table of contents, footnotes, and graphics and charts for presentations
  • Support any documentation production requests, including redacting certain information based on the direction of a member of the Legal Department
  • Read and process mail and internal correspondence to ensure prompt responses where warranted
  • Provide telephone coverage
  • Process requests associated with publications, equipment ordering, access requests, onboarding, and offboarding
  • Coordinate with vendors and internal departments in the Bank with respect to the publications and subscriptions used by the Legal Department
  • Schedule meetings for the members of the Legal Department and prepare emails associated with requests for the Legal Department
  • Serve as the timekeeper for the Legal Department
  • Serve as the purchasing card holder and make any purchases needed for the Legal Department
  • Reconcile all purchases made by the Legal Department
  • Prepare any specialized reports requested by the Legal Department
  • Support event coordination
  • Process travel requests and itineraries and prepare reimbursement requests associated with travel or nontravel expenses
  • Support the ethics function in the Legal Department with respect to onboarding new hires and tracking acknowledgments and any other administrative tasks as assigned.

Supervision
This position is not required to directly supervise other employees.
Knowledge and Experience
Knowledge and experience normally acquired through, or equivalent to, the completion of an associate degree and a minimum of 5-7 years of job-related experience.
  • Ability to work independently, with minimal supervision and guidance.
  • Excellent attention to detail.
  • Previous experience as an administrative assistant preferred.
  • Ability to communicate timely and effectively, both verbally and in writing, with attorneys and stakeholders.
  • Must have strong writing, typing, computer, and phone skills. Expertise required in a wide array of desktop software products.
  • Previous experience with iManage or similar documentation or matter management system preferred.
  • This position is required to work on-site although some form of a hybrid arrangement may be considered.
