Senior Administrative Assistant, Government Affairs
Job Description
JM Family is seeking a Senior Administrative Assistant, Government Affairs! The Senior Administrative Assistant, Government Affairs will provide high-level administrative support to the Government Relations VP, managing scheduling, travel coordination, expenses, and various support functions. This role also involves coordinating political fundraisers and events, interacting with government officials, and managing legislative tracking and PAC recordkeeping.Â
Responsibilities:Â

Oversee the Government Relations VP’s schedule, ensuring efficient time management and coordination of meetings.Â

Arrange travel plans, including booking flights, accommodations, and transportation, and manage related expense reports.Â
-
Serve as the event coordinator for political fundraisers and official visits, handling guest lists, itineraries, and event details.Â
-
Collaborate with the internal travel team to organize annual planning meetings with consultants and senior executives.Â

Coordinate meetings and correspondence with government officials and their staff.Â
-
Track and manage the filing of state and federal legislation, sharing updates with lobbyists, lawyers, and business unit associates.Â

Maintain and coordinate recordkeeping for the JMFE Political Action Committee (PAC), including working with accounting on donor receivables reconciliation.Â

Ensure timely payment of state and federal consultants and manage payment processing for special interest, community, and political affiliates.Â

Update and maintain the department’s confidential database of political donations, and prepare check processing, spreadsheets, and PowerPoint presentations.Â

Work closely with the accounting department to meet deadlines and ensure accurate financial records.Â
Qualifications:Â

Strong understanding of public affairs, the legislative process, and the dynamics of local, state, federal, and regulatory agencies.Â

Minimum of 5 years of experience in a similar administrative government affairs role.Â

Highly organized with the ability to work independently and handle multiple projects with speed, accuracy, and professionalism.Â

Excellent oral and written communication skills, with samples required during the interview process.Â
-
Advanced proficiency in MS Office products, including Excel and PowerPoint, with samples required during the interview process.Â
-
Experience with SharePoint and NetSuite, preferred.Â
-
Availability to work weekends and evenings when necessary.Â
-
Work arrangement is 100% on-site Monday-Friday during training period, then hybrid 3 days on-site/2 days from home.
