This position will be a hybrid work arrangement, which translates to 2-3 days minimum per week in the office.

Join our growing global Marketing team and help build HarbourVest's content powerhouse. The Senior Associate for Marketing Communications Project Management will create plans and lead execution for a wide variety of projects across marketing functions. Reporting to the Vice President of Marketing in charge of global brand, the Senior Associate will work in partnership with marketing partners including Content (editorial, video, etc), Design, Events, External Communications, and Internal Communications teams. The Senior Associate is responsible for ensuring the success of complex marketing initiatives and will work closely with business leads and key partners to ensure timely completion of high-quality projects at the level of quality expected through best practices in project management

Job skills and abilities

  • Ability to collaborate with key partners to create project plans, timelines, due dates, work activities, and scheduling of project meetings to achieve the goals of marketing initiatives.
  • Understanding and application of Project Management best practices, approach, methodology, and tools (the firm uses Smartsheet), with a demonstrated track record of managing and delivering cross-functional projects including editorial content, video production, collateral, sponsorships, events, design, and digital (email, web, social media) within the agreed upon scope, schedule, and cost.
  • Experience taking initiatives from conception to implementation, coordinating with cross functional teams to manage all aspects of delivery including status reporting and risk mitigation.
  • High level of professionalism and ability to plan, organize, and prioritize multiple projects and due dates, and hold others accountable.
  • Deep knowledge of project management tools and the ability to steer partners towards adoption and utilization.
  • Experience working with third party vendors, including video production companies.
  • Excellent interpersonal and communication skills, and consistent track record in work effectively with all organizational levels and functional groups.
  • Ability and desire to work independently as well as part of a team.
  • Multi-tasking and time management skills, with the ability to prioritize tasks effectively.
  • Analytical mind with business sense.
  • Strong attention to detail with the ability to think creatively.
  • A sense of humor and ability to not take oneself too seriously is required.

Responsibilities

Project Management and Project Execution: 80-90%

  • Drive project prioritization and planning activities on a weekly basis
  • Develop and maintain project execution plans specifying tasks, cross-functional dependencies, timing, risks, issues, and mitigation plans
  • Maintenance of the marketing calendar, including interdependencies across functions and identify roadblocks
  • Prepare project updates and status reports to ensure the team and impacted partners are informed
  • Build checklists, procedures, and workflows to support the ongoing execution of developed processes
  • Actively manage scope and coordinate decision processes across different project types, including editorial content, videos, website updates, PowerPoint presentations, social media content, webcasts, events
  • Drive efficiencies through processes, templates and creating scalable ways of working

Ensure that all target due dates are met

  • Identify continuous improvement opportunities within daily activities and work across teams to craft solutions and implement improved ways of working
  • Coordinate scenario planning, piloting and launching of new marketing channels and platforms (e.g., blog

Administration: 10-20%

  • Build and maintain partner relationships
  • Plan and schedule regular meetings for the team and various cross-functional groups to review status of projects
  • Ensure adherence to processes and ensure team stays on task

Track and coordinate daily tasks

  • Regular reporting of project status

Education

  • Bachelor's degree or equivalent with strong academic credentials

Work experience

  • Minimum of 5-7 years of experience in relevant Project Management roles
  • Experience in marketing, technology, or financial services preferred
  • Strong knowledge of Smartsheet preferred
