Job Summary:
The Senior Conference Manager will be supporting two independent Congressionally mandated Federal Advisory Committees (FACA) and all supporting councils, boards, and workgroups. They will be responsible for planning and coordinating small to large-sized conferences and meetings. This will include site selection, vendor selection, contract negotiations, database management/manipulation, lodging, and travel. The Senior Conference Manager will also supervise meeting functions onsite and act as the primary liaison between the client and the venue.
Responsibilities and Duties:
- Perform formal status reporting to the client and/or FACA committee members
- Work closely with the client on all contract obligations including the development of budgets, negotiation of agreements and contracts, and resource management.
- Coordination of all contract documentation such as monthly reports, work assignment final reports, and written deliverables.
- Review the processing of training application approvals and confirmations.
- Arrange and track training requests, scheduling of trainers, and training logistical arrangements.
- Work with the venue and/or hotel to prepare room set-up, food & beverage, attendees, speakers/VIPs, and vendors.
- Communicate with clients to develop meeting materials and provide onsite meeting support.
- Manage the creation of forms for registration, reimbursement, honoraria, evaluations, etc.
- Manage logistical and confirmation letters for clients, attendees, speakers/VIPs, trainers, and vendors.
- Oversee the ordering and set up of supplies such as audiovisual arrangements, creation, duplication, and assembly of conference/review materials, including name badges, tent cards, signs, and packets.
Qualifications and Skills:
- Mandatory: Proficiency in event management software such as CVENT
- Minimum Education: Bachelor’s degree (degree in Events Management, Marketing, Business, Communications, or Hospitality preferred) or equivalent experience in meeting planning and management (preferably with a government contractor).
- Minimum of 2 years of supervisory experience.
- High proficiency in Microsoft Office and teleconferencing products.
- Demonstrated experience in negotiating and interacting with high-level officials and clients.
- Ability to accomplish the requirements of the position in a fast-paced work environment requiring excellent time management and multi-tasking skills.
- Excellent verbal and written communication skills with an emphasis on exceptional interpersonal communication skills, including the ability to listen to issues affecting the conference center and propose solutions.
