Reporting to the Manager of HR Support, this person will need excellent organizational and time management skills, as well as the ability to communicate to employees at all levels within the organization to support a wide variety of administrative tasks. The primary roles are supporting the administration and compliance of I-9s and unemployment. Additional responsibilities may include coordinating and responding to internal and external inquiries, maintaining employee files, performing audits, and other duties as assigned. Join our collaborative HR team and play an important role in supporting the administrative needs of our HR partners and employees. This position offers a fexible, hybrid work schedule.
Your Key Responsibilities
- US I-9 Administration
- Liaison between Stantec employees, office contacts and Equifax/E-Verify
- Ensures I-9s are completed timely and within federal guidelines
- Assists in the reverification of employment documents for foreign workers
- Performs miscellaneous audits as needed
- US Unemployment Administration
- Liaison between Stantec employees, HR Business Partners, state unemployment agencies and Equifax
- Provide employer response to unemployment claims within required timelines
- Coordinate and/or attend hearings as needed
- HR Compliance Administration
- Performs miscellaneous HR audits
- Liaise with HR, Payroll, and various third-party vendors on compliance administration, primarily for North America.
- Maintain US state compliance notifications in new employee onboarding and Equifax Compliance Center; coordinate updates as needed
- HR Support Activities
- Maintain employee e-files and respond to document requests as needed
- Create correspondence to verify employment for employees
- Assist with HR invoice payment and tracking
- Listen to, respond, and/or route voice messages to the appropriate tea.
Your Capabilities and Credentials
- Experienced in I-9 Administration and E-Verify authorizations
- An ability to manage competing deadlines, with a close attention to detail
- The ability to work autonomously, reviewing work on a regular basis and consistently meeting role objectives
- Strong Microsoft Office Suite skills
- Excellent customer service, communication and time management skills
- Experience with HR Systems including HRIS, I-9 Management Vendors and HR Service Center
- Knowledge of Human Resources general policies, procedures, and guidelines
- Certificate or Diploma in Business, Administrative Management, or related field
- Minimum 8 years of related work experience or an equivalent combination of education and related experience.
Typical office environment-working with computers and remaining sedentary for long periods of time.
