The Challenge

The Global Real Estate and Workplace organization is a newly created team at OneTrust that is dedicated to setting, implementing, and optimizing an integrated, inclusive, sustainable, safe, and secure physical and digital workplace experience for OneTrust’s distributed workforce. The Global Real Estate and Workplace team is comprised of Workplace, Operations, and Physical Security. 

As the Senior Director, Global Workplace, you will be responsible for partnering with the 3 other functions listed above to deliver the end-to-end physical and digital workplace experience for OneTrust employees. This includes support for home offices, partnering with 3rd party flexible/ coworking spaces, and designing, building, improving, and managing dedicated OneTrust offices.

You will lead an organization comprised of work across 4 different categories:

  • Workplace Experience: Your organization will be responsible for defining, implementing, and governing standards around hospitality, conferencing, events, and connection for employees, executives, clients, and other high-profile visitors. Setting a strategy includes accounting for a hybrid, distributed physical and digital workplace experience.
  • Workplace Services: Your organization will manage vendors and other 3rd party support for cleaning, facilities, mail and packaging, food and beverage programs, health and safety standards and other core services required for the office to function well. This also includes managing moves, adds, and change to the space, and small capital projects.
  • Real Estate: You will be responsible for partnering with the VP of Global Real Estate and Workplace as well as other function heads to define and establish a global strategy for strategically planning and sourcing real estate as well as managing the effectiveness of the portfolio as it aligns with corporate priorities. This includes site selection and transaction negotiations.
  • Design & Innovation: You will set a strategy for designing and evolving spaces and developing innovative workplace approaches. This includes design and construction management and site budgets, as well as partnering with the Head of Operations on research and development and budget management.
Your Mission

Overarching Responsibilities

  • Hire a first in class, diverse team for Workplace Services and Experience for our Americas, EMEA and APJ markets. New hires complement the existing team structure.
  • Build solid relationships and maintain ongoing coordination with internal and external partners and collaborate and communicate closely with the key stakeholders.
  • Partner with the Director of Operations to determine an annual budget, as well as itemized allocations and targets for capital and operating expenditures. Periodically review actuals and budgets to ensure the spending is within budget.
  • Assist in the development of weekly and monthly status update presentations/emails/reports to report project progress to senior leadership
  • Own various business processes and/or initiatives that span across regions
  • Follow up on issues and complete special projects as directed by VP, Global Real Estate & Workplace

Workplace Experience

  • Work with the Senior Manager of Workplace Experience (to be hired) and guide them on developing standards and protocols for hospitality, conferencing, and events to build out connected, cohesive global programs in partnership with the People and Culture team.
  • Provide leadership and direction to 6-8 existing onsite workplace experience managers for dedicated OneTrust spaces.
  • Ensure strong management of the real estate portfolio to include space planning, occupancy and vacancy reporting, seating assignments, and projections for growth requirements.
  • Develop a digital workplace strategy inclusive of IWMS, desk booking, conference room booking, etc.

Workplace Services

  • Oversee ongoing operations of new and existing office locations, relocation, and replacement expansion as well as oversight of supportive workplace operations
  • Provide leadership and direction to existing onsite workplace service team members for dedicated OneTrust spaces.
  • Work with the Senior Manager of Workplace Services (to be hired) and guide them on establishing contracts, staffing, and management plans for all OneTrust office spaces. This includes facilities, cleaning, mail and packaging, and other corporate logistics services as needed.
  • Review and improve facilities, processes and procedures. Work with Senior Manager of Workplace Services to develop short and long-term facility operations and maintenance plans, space planning, moves, adds, changes, and renovation projects, along with preventative maintenance and cost reduction plans.
  • Ensure all facilities are operated and maintained in alignment with established standards, laws, regulations, procedures and local health and safety guidelines.
  • Partner with the Head of Operations to ensure contracts are in place for all such services as well as exigent circumstances in the contracts.

Real Estate

  • Be responsible for the global real estate portfolio to include sourcing, lease negotiation, sourcing selling of properties, office furniture, office construction, office remodeling or decommissioning of a site.
  • Partner with leadership on forecasting capital projects, acquisitions, and other changes to the overall portfolio.
  • Grow and maintain cohesive and effective working relationships with real estate brokers, developers, owners, landlords, attorneys, and all other external partner teams.

Design & Innovation

  • Identify “best-in-class” technologies and processes to support successful hybrid/remote working programs and operations.
  • Work with Marketing and external design teams to create engaging spaces for the OneTrust community, that both provide consistency of experience, highlight nuances of unique geolocations, and utilize 3rd party spaces.
  • Partner closely with internal cross-functional teams (e.g. Legal, Finance, People & Culture, Technology, Sustainability) to source, design, build, operate, and evolve the design of OneTrust locations.
  • Plan, design, and construct capital improvement and build out projects along with expansion, relocation and renovation of offices.
You Are
  • Substantial hands-on experience managing multiple offices across the globe, with a focus on all elements of the workplace environment (inclusive of workplace and property management, food service, office services, physical security, health and safety, space management, and project management).
  • Experience with developing and managing portfolio strategies and operational programs and processes by strategically influencing internal and external stakeholders through diplomacy, building consensus, negotiating, and exercising leadership skills, inclusive of global MSA/ SLA contracts.
  • Experience managing and forecasting capital and operational budgets.
  • Superior Microsoft Office skills and working knowledge of IWMS, CAD and other relevant workplace applications.
  • Demonstrated strength as a manager and hands-on leader; prior experience supervising, coaching, mentoring and developing teams, operating effectively with a disciplined budget, and improving work quality.
  • The ability to build productive cross-functional relationships that lead to collaborative problem solving.
  • A strategic, proven leader with a strong track record organizing and motivating individuals by creating inclusive spaces.
  • Resourceful and agile. Self-motivated and proactive, you flex to try new approaches and creatively solve problems.
  • A high-energy individual, able to be successful and resourceful in a fast-paced environment.
  • Strong written, oral and presentation skills, excellent mathematical reasoning and strong problem-solving abilities.
Your Experience Includes
  • 10+ years of relevant experience with at least 7 years in a management capacity in the following areas: Safety & Security, Real Estate, Project-Design Construction, and/or Workplace Operations, ideally in a corporate headquarters environment.
  • Bachelor’s degree or commensurate experience.

  • Led or participated in return-to-work/hybrid work model decisions.
  • IFMA, CoreNet, and PMP certifications.
