Senior Executive Assistant
Job Description
ABOUT THE ROLE
The Senior Executive Assistant to the Chief Marketing Officer is a member of the Marketing team, reporting directly to the Chief Marketing Officer and may support other leaders of the marketing leadership team. This role will guide day-to-day operations and provide administrative and programmatic support for the CMO making time, information and decision processes more effective.Ā
The person in this role will be a trusted partner and have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities.Ā
YOUR DAILY IMPACT AT PELOTONĀ
- Ensure the CMO and executiveās time is aligned with their priorities through demonstrated understanding of the core business and by leveraging expert prioritization strategies
- Manage the calendars of each executive with a high level of detail, using a collaborative process for eliminating conflicts and prioritizing the most critical engagementsĀ
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of PelotonĀ
- Increase the bandwidth of the executives by anticipating needs and taking ownership of planning, executing, and delegating activities, creating an extra layer of accountabilityĀ
- Organize meetings and town halls, including booking conference room space, ordering catering, organizing agendas, preparing materials, and ensuring the availability of attendees
- Take and distribute clear and comprehensive notes in all CMO meetings; proactively delegate and schedule follow ups from meetings and direction from CMOĀ
- Draft and prepare correspondence for internal announcements to key stakeholders on behalf of the CMOĀ
- Manage the Marketing calendar and socialize with cross functional partners
- Prepare expense reports, execution of contingent worker contracts, vendor invoicing paperwork, and purchase requisitions, including monthly expense reconciliation and on-demand expense reportsĀ
- Coordinate both domestic and international travel arrangements ensuring tight schedules and well-articulated itinerariesĀ
- Foster an inclusive culture through coordinating marketing org-wide activities
YOU BRING TO PELOTONĀ
- 5+ years of work experience in a similar roleĀ
- Ability to have a flexible and adaptable scheduleĀ
- Highly organized and thoughtful with strong customer service skillsĀ
- Strong business sense and can decipher priorities and make sound judgment calls when needed
- Diligent, self-starter who uses emotional and cultural intelligence to intuit needs
- Experience prioritizing multiple projectsĀ
- Ability to function well in a dynamic environmentĀ
- Must be highly competent with a range of modern communication tools (Zoom, Slack, etc.)
- Proficiency in Microsoft Office
- Proficiency in Google G Suite tools (Gmail, Docs, Sheets, Slides, etc.)
- In office 3 days a week (Monday, Tuesday, Wednesday)
