Caribou is seeking a highly organized and experienced Senior Executive Assistant to support the Chief Executive Officer and the Chief Business Officer. The ideal candidate will possess exceptional communication skills, the ability to handle sensitive information with discretion, and a proactive approach to managing the CEO's and CBO’s schedule and priorities. This position requires a high level of professionalism, judgement, adaptability, and the capacity to work in a fast-paced, dynamic environment. This role will be hybrid, with the expectation that the EA will be on-site in Berkeley as needed. The position will report to the CEO and the CBO.
Responsibilities:
- Provide executive support to the CEO and CBO
- Work closely with the CEO, CBO, executive leadership, and other teams to facilitate effective communication and collaboration
- Manage the CEO's and CBO’s calendars, scheduling meetings and appointments
- Prioritize and optimize the CEO's daily schedule to ensure maximum efficiency
- Coordinate all travel arrangements including flights, accommodations, and logistics
- Prepare expense reports for the CEO and CBO
- Interface with the Board of Directors, including managing their travel arrangements as needed
- Serve as a primary point of contact between the CEO and internal/external stakeholders, screening as appropriate
- Handle confidential and sensitive information with utmost discretion
- Prepare and edit reports, presentations, and other documents for the CEO and CBO
- Conduct research and provide information to assist the CEO in making informed decisions
- Prepare agendas and materials for meetings, such as board meetings, company meetings, and executive leadership team meetings
- Attend meetings with the CEO, take notes, and follow up on action items
- Provide backup support for other administrative staff during periods of increased workload or time out of the office
- Serve as a host and a central resource for key visitors
- Plan and organize company events, conferences, and special gatherings as directed by the CEO
- Seek creative and cost-effective solutions in daily activities and projects
- Manage projects and other duties as assigned
Qualifications:
- 10+ years of proven experience in a similar role, preferably as an Executive Assistant to a high-level executive in small- to mid-sized companies including experience working with a Board of Directors
- Excellent organizational, time management, multitasking abilities, and project management skills
- Strong written and verbal communication abilities
- Significant attention to detail
- Mastery of productivity tools and software (e.g., Microsoft Office Suite, Outlook, and Zoom)
- Ability to maintain a high level of confidentiality and professionalism
- Strong analytical and problem-solving skills
- Adaptability and the ability to thrive in a fast-paced environment
- Exceptional interpersonal skills and the ability to build relationships at all levels
- Strategic thinking and the capacity to anticipate the CEO's and CBO’s needs
- Flexibility to work outside regular business hours when necessary
- Ability to prioritize tasks, meet deadlines, and be flexible with changing priorities
- Ability to work independently and take initiative with minimal supervision
- Ability to apply sound judgment in managing the CEO’s and CBO’s schedules
Desirable:
- BA/BS degree
- Experience in the life science industry
- Experience supporting a CEO
- Experience managing electronic records
Caribou compensation and benefits include:
- Salary range: $130,000 to $150,000 per year. This represents the present low and high end of the Company’s pay range for this position. Actual pay will vary based on various factors, including but not limited to location, skill, experience, and performance.
