Senior Executive Assistant, Legal (Hybrid Eligible)
Job Description
Smartsheet is looking for a Senior Executive Assistant to support the Chief Legal Officer, VP of Legal, and the leaders within the CLO organization. The ideal candidate will be proactive, flexible, resourceful and efficient while maintaining the highest level of confidentiality, integrity, and professionalism. You will serve as a strategic partner to the CLO and the CLO leadership team.

You will report to our CLO located in our Bellevue office. This is a Hybrid role.
You Will:
- Be a strategic partner to the CLO and VP of Legal, including anticipating their needs, keeping them on track, and providing suggestions and advice to support the organization.
- Maintain an extremely active calendar of internal and external appointments.
- Handle meeting logistics, prepare meeting agendas and meeting materials, maintain meeting notes, track resulting action items.
- Make independent decisions within established guidelines to provide support with planning, and scheduling various events, including team offsites, team building events, community services activities, etc.
- Regularly partner with CLO and VP of Legal via frequent meetings and electronic communication to assess needs and opportunities for optimum task execution.
- Draft correspondence for review and distribution.
- Alleviate CLO and VP of Legal, and as time allows legal, procurement, and compliance leaders of routine administrative details, including tracking deadlines, meeting invitations, presentation preparation, expense report completion, submitting procurement requests, monitoring budgets, renewing state bar licenses.
- Act as liaison with organization and coordinate activity between departments.
- Arrange complex and detailed domestic and international travel arrangements, itineraries, and agendas in multiple time zones, compile documents for travel-related meetings, coordinate international visas and passports; react to last-minute changes to travel schedule.
- Act as the primary gatekeeper for internal and external individuals on matters pertaining to leader access.
- Develop familiarity and trust with employees, vendors, directors, and investors.
- Prioritize conflicting needs and keep leadership informed of short- and long-term responsibilities and commitments.
- Research and prioritize requests, given time sensitivity and confidential nature of matters. Make adjustments to priorities as needed.
- Partner with lead executive assistant on operational systems at the company, maintaining confidentiality and supporting shifting priorities.
You Have:
- BS/BA degree preferred, or equivalent experience.
- 7+ years of relevant experience as an Executive Assistant or similar role.
- Experience with Smartsheet, G Suite, and Microsoft Office applications.
- Positive, can do attitude, exceptional organization, communication skills, attention to detail, and follow through.
- A creative approach to work with a willingness to innovate and continuously improve.
- Ability to manage highly sensitive or confidential situations and information with professionalism.
- Desire to work independently, manage shifting priorities, demonstrate good personal judgment, and effectively handle tasks under pressure.
