Our client is a leading provider of high-quality medical services dedicated to improving the health and well-being of their communities. They are currently seeking a dynamic and detail-oriented Sr. Executive Assistant to join the team and play a crucial role in supporting the smooth operation of the practice and the Founder day to day.Β
Position Summary
The Sr. Executive Assistant will serve as the right hand to the practice's leadership, providing essential administrative support and contributing to the overall efficiency of daily operations. The successful candidate will be fluent in Spanish, highly adaptable, technologically savvy, encompass strong communication skills and capable of managing various tasks with precision and professionalism.
Key Responsibilities
- Facilitate communication between English and Spanish-speaking stakeholders.
- Act as the primary point of contact for the executive team.
- Represent the practice with potential and existing clients.
- Manage and coordinate executive calendars, appointments, and meetings.
- Draft, proofread, and edit documents.
- Demonstrate flexibility in adapting to changing priorities and responsibilities.
- Proficient in using office software such as Microsoft Office Suite.
- Track and manage spreadsheets related to various aspects of the practice.
- Prepare reports and summaries based on spreadsheet data.
- Assist in coordinating special projects and initiatives as assigned.
- Collaborate with team members to ensure project deadlines are met.
Qualifications
- Previous experience as an executive assistant or in a similar administrative role.
- Excellent written and verbal communication skills in both English and Spanish.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with spreadsheet tracking and reporting.
- Ability to work independently and collaboratively in a fast-paced environment.
- Be available for occasional after-hours work or weekend tasks as required.
- Be able to work from home for certain tasks, ensuring a seamless workflow.
- Handle sensitive information with the utmost discretion and maintain confidentiality.
