Senior Executive Assistant to the CEO

The Senior Executive Assistant will contribute to the company’s success by providing highly complex administrative assistance to the CEO. A successful candidate will demonstrate excellent use of judgment, initiative, discretion, time management and independent action as you serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the executive. The right candidate will be able to balance the needs and requirements of the CEO as well as other stakeholders and be ready to pitch-in wherever necessary. This role will improve efficiency, promote collaboration, help implement our strategy, and reinforce an inclusive culture. We are looking for a proactive, self-starter who loves to solve problems before they arise and can manage a large, diverse workload. You should be comfortable working in a fast-paced environment with quickly changing priorities while being calm, efficient and highly organized.
Responsibilities
- Serves as the CEO’s central point of contact and liaison for both internal and external matters building relationships with key stakeholders in CEO’s internal and external network
- Provide dedicated administrative support to the CEO by maintaining complex calendars, setting up and coordinating meetings, making travel arrangements, and managing executive email
- Be ready and comfortable with managing up to ensure the CEO is organized and achieving business outcomes
- Attend important meetings, manage agendas, take meeting notes, and track deliverables to execution
- Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office
- Plan large-scale team events, department wide meetings, and leadership off-sites
- Support office management team with some facilities duties
- Assist with planning and the execution of company-wide internal and external events
Qualifications
- 5+ years of experience as an Administrative Assistant supporting a senior manager and/or as an Executive Assistant, in a fast-paced environment
- Must have experience supporting C-level executives
- Assertive leader who collaborates well within a team and knows when to delegate
- Discretion and experience handling sensitive/confidential information is a must
- Prior management and/or supervisory experience of admin staff is a plus
- Proficiency with Google Suite, including Google Calendar, Docs, Sheets, Forms, and Slides
- Exceptional written and verbal communication skills
- Detail oriented and highly organized
- Team player, no task is too small or too big mentality
- Wonderful attitude with a willingness to learn and grow
- Role is based in the Austin office with flexibility to come into the office 4X a week
