Senior Facilities Coordinator
Job Description
As Senior Facilities Coordinator, you will coordinate administrative functions within Corporate Services. Your primary responsibility is to provide administrative support to the department. You will also be responsible for performing duties pertaining to service contract and vendor management; security access control and administration; space planning; and other support services and functions across our portfolio. This role also includes receptionist duties, processing visitors, oversight of procurement requests, monthly financial accruals, and budget support.
Are you up to the challenge?
- Manages service contracts including general contractors, security, floor, and carpet cleaning, data/server room cleaning, onsite cafeteria and vending, and coffee services.
- Assists in the creation of security badges for new staff and contractors, sets personnel access profiles, participates in security audits, and prepares security reports for management.
- Provides Logistics support in receiving and distribution of mail/small packages.
- Responsible for initiating Purchase Requisitions, managing monthly Operating and Capital
- Expense accruals and generating monthly financial reports for the department.
- Assists with scheduling adds, moves and changes within our space management software system and ensures database is kept up to date.
- Responsible for the daily coordination of all onsite building events including coordination with caterers and facilities management.
- Develops Statements of Work and Standards of Procedure as needed.
- Assists with updates to departmental intranet website.
- Is part of the Emergency Response Team and participates on the Safety Management Team.
- Ensures reliable and professional coverage of the receptionist desk.
- Responsible for registration of Intelsat visitors, guests, and customers.
- Performs specialized work including updating and maintaining various databases and generating reports and spreadsheets.
- Assists with various Real Property lease portfolio administration procedures including submission of new leases, maintenance of electronic lease files and distribution of leases and correspondence.
- Coordinates ordering and recording of office supplies.
- Assists with preparation of workspaces for new hires
You should definitely have:
- College Degree with a minimum of 3 years of Facilities experience. Proof of 5+ years' experience may be substituted for college degree.
- Working knowledge of OSHA and ADA regulations.
- The ability to work independently and under time sensitive deadlines.
- Excellent written and verbal communication skills. Strong organizational and analytical skills
- Ability to provide efficient, timely, reliable, and courteous service to customers. Ability to effectively present information.
- Ability to respond effectively to sensitive issues.
- Proficient with Microsoft Office Suite
- This role is subject to ITAR/EAR; candidates must be a US Person (this includes US Citizen, Permanent Resident or Protected Individual such as an asylee or refugee)
It would be nice if you had:
- Experience with overseeing maintenance processes and unreliable equipment or systems that affect the ability to provide service reliability.
- Has AutoCAD, Revit, and VISO hands on experience.
- Experience in Adds Moves and Change and related software. WISP System a bonus
- Experience with office construction projects
