Your Role

This role supports the Global Facilities team and aligns delivery of the strategy with critical business needs. This role manages our facilities operations and supports the development and management of a global operating model. This role partners with programs and other operations teams to ensure facilities operations around the globe influences programmatic strategy through space considerations.

What You'll Do

This role will provide strategic direction and high-level oversight of a globally integrated facilities management program across our global portfolio, including affiliates throughout Africa, Europe, Asia, and the continental US. Further, the role will oversee day to day operations of our 12-acre headquarters in Seattle, including management of vendor partners, contract negotiation, creation and maintenance of individual budgets and all other logistics required. Must maintain a high and extremely detailed level of customer service.

Core Responsibilities

  • Manage the planning, continuous improvement, and execution of our global facilities operating model to ensure a consistent focus on operational excellence while recognizing local context within our offices.
  • Create and maintain systems to measure, manage, and improve vendor performance while stewarding foundation resources
  • High level oversight of Foundation global integrated facilities management (IFM) program and vendors
  • Lead continuous improvement initiatives and alignment of global FM service providers across the foundation portfolio using industry best practices
  • Oversight of IFM Master Services Agreement (MSA), and collaborate with Regional Office managers who own local agreements against MSA
  • Own LCAP (Life Cycle Asset Plan) across global portfolio - work in close collaboration with Facilities Process Manager and regional offices for annual planning integration
  • Lead the development and continuous advancement of operational playbooks (SLAs) for each site that is aligned with Foundation Operation Model
  • Responsible for Safety & compliance in alignment across Regional Offices
  • Oversight of injury/workplace accident reporting standardization in alignment w/ HR & security
  • Develop and oversee checklists, protocols, playbook, local regulations, training/certifications, and learnings to align globally
  • Establish and responsible for the global Community of Practice (CoP) across all foundation offices
  • Oversight of discovery, feasibility, pilot, and implementation of global IFM technology solutions
  • Own the continuous management, review, and improvement of global IFM KPI/scorecard reviews, alignment, and progress with Seattle and Regional Offices to ensure constant progress to achieving operational excellence
  • Oversee lease administration team to ensure consistent operational protocols are provided by and adhered to by landlords across the global portfolio
  • Manage and drive performance of critical vendors (i.e., Facilities Management and Food Services) for the Seattle Headquarters
  • Drive functional and operational excellence of service providers to create a culture of continuous improvement, efficiency, resource management, customer service, budget management and innovation.
  • Intimately familiar with contract terms and incentives and ensures vendor compliance and performance is driven by strategic KPI indicators.
  • Key point of contact for escalations from our staff through our vendors.
  • Responsible for accurate budgeting, forecasting, invoicing, stewardship of resources
  • Develop annual Seattle LCAP (10 year Life Cycle Asset Plan), R&M (Repairs & Maintenance), & non-recurring projects budgets.
  • Ensure positive employee experience through detailed strategy development and oversight of the following services: property management and repairs/maintenance, safety & compliance, injury/workplace accident reporting standardization in alignment w/ HR & security, checklist, protocols, playbook, local regulations, training/certifications, and learnings to share globally, janitorial, landscaping, furniture, fixtures, and equipment, sustainability/transportation/ergonomics, art program, shipping/receiving, events support, food services
  • Oversight of strategically significant and highly complex projects supporting foundation initiatives across business processes, teams and functions.
  • Provides project leadership, managing project and vendor/consultant team members and partnering with cross-functional teams and external stakeholders to ensure projects deliver the expected scope and business value, completed on budget and on schedule, and delivered with quality aligned to business outcomes.
  • Oversees the outsourced operation as it supports both foundation customers and grantee organizations facilitated by alignment of adopted policy and procedures.
  • Serves as a customer service resolution and escalation point for issues rising from Foundation staff and critical vendors across global portfolio.
  • Collaborates with other areas of operations to ensure smooth processes and services are being performed
  • Enhances user experience by continuous review and improvement of systems, processes and procedures to drive efficiencies
  • Reviews any new technology tools that come on the market to determine their relevance or applicability to our business
  • This role may manage people and could be responsible for hiring the talent needed to achieve our goals, ensuring successful employee onboarding, communicating performance expectations, creating goal alignment, integrating project and change management, giving and seeking feedback, providing coaching, measuring progress and holding people accountable, supporting employee development, and recognizing achievement and lessons learned.
  • Support change management globally as it pertains to changing operational model
  • Support communication plan as it pertains to project and operational outcomes
  • Enhance operating model through continuous review and improvement of systems, processes, and procedures to drive efficiencies
  • Create specific, measurable outcomes (metrics) as success indicators to track process
  • Advocate for operational and budgetary efficiencies
  • Create incentives to drive performance and cost efficiencies
  • Use data to perform financial due diligence

Your Experience, Knowledge and Skills

  • 7+ years of experience
  • Advanced degree preferred in business management, construction management, facilities management, or related field, or equivalent experience.
  • Strong contractual negotiation and vendor management skills.
  • Cultivates beneficial and long-term relationships with clients and with vendors.
  • Extremely detail oriented.
  • Team Player and ability to lead a project team.
  • Strategic planning, resource allocation and coordination of people and resources on time-sensitive, faced-paced and high volume of projects and initiatives.
  • Strong international experience and knowledge of working in varying cultures
  • Expert knowledge of facilities operations and industry trends and standards
  • Ability to read architectural and construction drawings
  • Strong contractual negotiation and vendor management skills.

* The typical salary range for this role is $127,300 to $236,900 USD. The exact offer will be determined by a variety of factors such as the candidate's individual skills, qualifications, and experience relative to the requirements of the role.

* Must be able to legally work in the country where this position is located without visa sponsorship.

* Must be able to travel 20% of time to international regional offices at key project milestones.
