POSITION SUMMARY:

Greenpeace US (GPUS) is seeking an experienced Senior Grants Manager to join the Institutional Partnerships team to help Greenpeace to expand its foundation fundraising. The Senior Grants Manager is an integral part of the fundraising operation and will work side-by-side with the major gifts and operations teams to build consistent practices around the recording of donor relationships, interactions, and grants in our Customer Relationship Management system (CRM). The position will also develop and implement grants management policies and procedures to track revenue and data. These processes are still being built so the ideal person is someone who is interested in building systems that will work in and align with the Greenpeace ecosystem.

The Senior Grants Manager’s scope of work also includes creating grant budgets, revenue projections and key performance indicators for the Institutional Partnerships Team. This position will also provide analysis on opportunities and challenges for increasing the efficiency and effectiveness of foundation fundraising. This role requires the ability to work independently while maintaining strong team relationships, and will work cross-functionally with Development Operations, Finance, Legal, and Program Operations teams on grant processing.

The ideal candidate will be focused on maintaining and improving processes through strong project and task management skills and an organized approach. This candidate will demonstrate the ability to navigate complex application and reporting processes with an eye for detail -  both in proposal development and when sharing and documenting grants management best practices. 

The Senior Grants Manager is an exempt, full-time, benefits-eligible role that can be based in any location Greenpeace USA is authorized to work: CA, CT, DC, MD, NJ, NY, VA, and is represented by the Progressive Workers Union. This role reports to the Development Director, Institutional Giving.
ROLE RESPONSIBILITIES:

Leadership and Development Skills:

  • Lead the development of the Grants Management process in collaboration with Development, Finance, and Program staff. 
  • Lead regular meetings with Finance and Program Operations to provide regular updates, address concerns or inquiries and to ensure consistency and accuracy of records across systems and departments.
  • Work with Finance and Program to advise on structure for and conduct quarterly reviews of grant spending and staffing.

Financial Management: 

  • Monitor grant budgets, track expenditures, and ensure that financial practices align with grant guidelines. Work closely with Finance, Governance, Programs and accounting teams to manage grant funds effectively
  • Create the annual budget and quarterly reforecasts in partnership with the Institutional Partnerships team.

Record Keeping: 

  • Maintain organized and thorough records related to grant activities, including documentation of communications, reports, comprehensive calendar tracking, CRM updates (e.g. Salesforce) and other relevant materials.
  • Process all incoming grants by working with Legal, updating Salesforce and Asana and drafting Grant Award Memos and acknowledgement letters.

Capacity Building: 

  • Provide guidance and support to staff involved in grant-funded projects, ensuring they understand and adhere to grant requirements. Develop and offer training or resources as needed.
  • Work with the Major Gifts team to ensure that all donors and foundations are being appropriately cultivated and stewarded, and assigned to the appropriate team.

Grant Compliance: 

  • Monitor and ensure compliance with grant requirements, guidelines, and reporting deadlines. This includes keeping abreast of changes in regulations and policies related to grant management. 
  • Stay informed about best practices in grant management.

Project Management:

  • Project manage the development of new processes and practices in partnership with the Development Operations Team.
  • Create a prospect review and move management system where donors and prospects are regularly assigned next steps. 
  • Prepare and submit timely, accurate and team-accessible documentation for all processes and systems, detailing project progress, outcomes, and financial expenditures. This may include narrative reports, financial reports, and other documentation.
  • Seek opportunities for process improvement and efficiency in grant management processes.

Risk Management: 

  • Identify potential risks and challenges associated with grant-funded projects and develop strategies to mitigate these risks.

Evaluation and Impact Assessment: 

  • Collaborate on the development and implementation of evaluation strategies to assess the impact and effectiveness of grant-funded programs.
  • Participate in Grants Management Working Group -  a cross-functional team that is working to develop and implement policies and standard operating procedures for incoming grants.

Other:

  • Perform other job-related duties as requested or assigned by the Director of Institutional Partnerships, Chief Development Officer, and Executive Director

ROLE REQUIREMENTS:

Knowledge

  • In-depth understanding of grant writing, budgeting, compliance, and reporting processes. Familiarity with both 501(c)3 and 501 (c)4 organizations preferred
  • Nonprofit Sector Knowledge: Familiarity with the unique challenges and opportunities of advocacy work within the nonprofit sector
  • Proficiency in using relevant software and tools for grant management, budgeting, and reporting. Salesforce experience preferred.
  • Compliance Expertise: Knowledge of grant compliance requirements and regulations.
  • Familiarity with the conceptual terminology and logframes used by foundations, preferred

  • Possess strong organizational, problem-solving, and analytical skills with the ability to manage competing priorities and workflow, identify and address challenges, find solutions, and make informed decisions
  • Self-motivated with the ability to collaborate cross-departmentally and cross-functionally, including training and development of staff
  • Flexibility and adaptability to navigate changing priorities, responsibilities, expectations, trends, strategies and unforeseen challenges
  • Excellent written and verbal communication skills, including the ability to effectively communicate complex information to various stakeholders, including funders, team members, and external partners
  • Creative thinking

Experience

  • 7 years minimum of significant experience in grant management, with a proven track record of successfully managing grants
  • Previous experience demonstrating leadership skills, including developing and implementing grant management processes and the ability to motivate and guide collaborators, stakeholders and team members
  • Experience ensuring adherence to grant guidelines and reporting deadlines
  • Experience working in a large and/or international organization, especially those focused on environmental issues or advocacy
  • Experience in 501(c)(4) fundraising and navigating lobbying restrictions in donor proposals
  • Proficiency in budget development, financial management, and fiscal responsibility

Other

  • Demonstrate a high level of professionalism in dealing with confidential and sensitive issues.
  • Ability to work at a computer for extended periods of time.
  • Willingness to travel infrequently, as needed
  • Commitment to ethical standards and integrity in grant management practices.

The pay grade for this role is 4, and the salary range is anticipated to be $92,000-$103,500 and is commensurate with experience.
