Position Summary:

The Senior Manager, Legal Operations, will be responsible for the daily administrative operations of the Legal Department, including overseeing the Department's finance functions (e.g., billing, budget setting and management, financial reporting) with the goal of enabling nimble and strategic legal services, engaging and overseeing outside counsel consistent with the Legal Department's goals and policies, evaluating outside counsel effectiveness (including the use of metrics and analytics), managing the Legal Department's electronic billing and information systems and Legal Department personnel management.

This will be a remote position reporting to the Vice President, Legal, Corporate Functions, but will also work closely with other senior members of the Legal Department, including those who oversee legal work for the Company's various Product Groups and Commercial Organizations. This position will also have significant ongoing cross-functional informational and coordination responsibilities.

The Senior Manager, Legal Operations, will serve as the Legal Departments' primary operational liaison to and coordinator with other functions, within both Corporate, the Product Groups and the Commercial Organizations of the Company. Such operational coordination will involve regular interaction with the Finance and Accounting Department, Human Resources representatives, Information Technology personnel, Internal Audit representatives, and Global Business Services personnel,

Responsibilities:

The Senior Manager, Legal Operations, needs to have a strong financial background and will be responsible for the overall financial planning and financial management of the Legal Department, including responsibility for the following:

  • Promoting and furthering the Legal Department's general mission, value proposition and long-term objectives, and ensuring ongoing alignment with, and support for, the strategic and business plans of the Company.
  • Planning, preparing, and informing the Legal Department's annual budget, reflecting its multi-year business/strategic plan, in close collaboration with the General Counsel, senior members of the Legal Department and Finance and Accounting colleagues.
  • Preparing and providing the Legal Department's annual forecasts and quarterly updates to Finance and Accounting.
  • Engagement and management of outside counsel; tracking outside counsel spend and identifying opportunities to reduce spend, identifying opportunities to more effectively manage outside counsel and employment of metrics/analytics to assist in this evaluation, and assisting with the enforcement of outside counsel billing policies.
  • Providing regular detailed financial reports on outside legal services costs, derived from Legal Tracker, including tracking spend against negotiated discounts or other alternate fee arrangements and matter-specific budgets/forecasts, identification of any variances and mitigation opportunities.
  • Preparation of legal spend dashboards to highlight current and historical legal spend by category, key drivers, trends and cost savings/avoidance successes.
  • Monitoring, analyzing and regularly reporting on total Legal Department costs and trends, including personnel costs and travel, meeting, professional registration/CLE, and other expenses.
  • Refining and maintaining processes and systems, in collaboration with the Company's Treasury Department, to track pending insurance claims, amounts paid by insurance or subject to reimbursement requests, and timing and amounts of actual net insurance recoveries.
  • Supporting and contributing to Legal Department activities critical for the Company's financial close and financial reporting processes, including the establishment of periodic meetings with the Company's independent auditors to discuss potential loss contingencies, management of year-end audit letter processes, including determination of law firms to solicit, and establishment and recordation of appropriate year-end legal services spend accruals.
  • Maintaining a thorough understanding of the landscape of legal services provided by the Legal Department across all Product Groups, Commercial Organizations and geographies.
  • Evaluating and recommending opportunities for, and provision of cost-benefit analyses of, potential legal process enhancements, including through increased standardization or automation and expanded uses of procedures and tools.
  • Responsibility for effective implementation of communications and department-wide meetings and events.

Competencies and Qualifications:

  • Bachelor's degree preferably in a business-related field (operations management or finance/accounting).
  • A CPA or a CFA designation is a plus.
  • Minimum 5 years' experience of increasing responsibility in operations management for a legal department, at either a corporate legal department within a mid- to large-sized, multi-national company or a top-tier, multi-national or multi-office law firm.
  • Demonstrated experience in budgeting and financial management, execution of strategic plans, personnel management, and technology planning, especially relating to Legal Tracker
  • A thorough understanding of legal professionals and their work.
  • Experience with the consolidation of preferred legal vendors.
  • Strong communication and influencing skills

The base salary and target annual incentive for this remote role is between $135,000 and $175,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.
