Senior Operations Analyst ACE- REMOTE
Job Description
Summary / Role Purpose
Responsible for providing worldwide operational and administrative support, processing, data analysis and reporting that supports ACE group planning, alignedwith internally improving productivity and operational efficiency, and maintaining a high level ofcustomer satisfaction.
Roles at this level will be making a contribution to the business in a specific area of expertise, but will have exposure to other areas within the ACE team. The role will operate within given policies and procedures but have a reasonable amount ofdiscretion to take independent action. The focus for roles at this level will be to assist in the effective delivery of an operational business service. Individuals at this level are expected to show competence and independence in their activities.
Key Duties and Responsibilities
The Operations Analyst for Consulting Operations is responsible for the day-to-day data and process management of ANSYS' North American Consulting Operations. Duties include, but are not limited to, all operational aspects of booking, delivering and reporting on consulting engagements:
- Work with the Consulting Managers and Project Leads to ensure the smooth operation of the Consulting business
- Interface directly with ANSYS Sales Team to assist with the booking of all Consulting engagements
- Coordinate the creation of customer proposals and budgets, ensuring adherence to all established standards in the creation of proposals and the delivery of services.
- Assist with all Consulting-related Legal considerations, e.g., contracts administration, intellectual property considerations
- Assist with all Consulting-related Financial considerations, e.g., required financial reporting, customer invoicing/accounts receivable, sales forecasting, etc.
- Generate Consulting statistics and metrics as required by the local Technical Managers and for worldwide ACE reporting. Using Excel, PowerPoint, Google, and other media, prepare business reports to clearlypresent the data analysis in a form suitable for interpretation at various levels ofcomplexity.
- Develop dashboards on the ACE intranet to highlight activity metrics associated withcontinuous improvement goals and business development initiatives. Other duties as assigned by management
- Ensure adherence to all established compliance practices, standards, policies and procedures.
- Manage the administration of all aspects of Change Management
- Promote continuous improvement and risk mitigation practices within Consulting Operations.
- Manage the ACE-related administration tasks aligned with the day-to-day efficient operation of the CRM and other relevant ACE-utilized systems
- Customer Support Help Desk
- Customer Training Administration
- Other Administration Duties
- Supervisor Duties (if applicable)
- Coordinate the activities of the local and/or worldwide teams of Technical Administrators and provide day-to-day support and mentoring guidance
- Compile and analyze the data associated with the worldwide ACE group, covering allaspects of activity, including existing processes for Pre-sales Support, Customer Support,Consulting and Training, as well as new initiatives focused on improving businessperformance.
Minimum Education/Certification Requirements and Experience
- Bachelor's degree in business or related field
- A minimum of 5 years of experience in an administrative position in a corporate setting with a focus on operations and business practices
- Supervisory and/or mentoring experience
- Must have advanced knowledge of presentation and spreadsheet software, such as Microsoft PowerPoint and Excel
- Ability to handle confidential information
Preferred Qualifications and Skills
- Master's degree in business or liberal arts is desirable
- Good general communication and interpersonal skills
- Detail oriented
- Working knowledge of database/CRM systems
