Senior Payroll Accountant

The Senior Payroll Accountant is responsible for the entire payroll function of WestCoast Children’s Clinic and ensures that payroll is processed on time, accurately, and in compliance with government regulations for 200+ employees. Responsibilities also include preparing general ledger entries for payroll transactions generated.

Key Responsibilities:

• Reviews timesheets and processes bi-monthly payroll for 200+ employees through ADP Workforce Now
• Maintains employee payroll updates on the ADP system and performs periodic reconciliation of employee deductions
• Ensures proper processing of payroll taxes, benefits, and garnishment deductions
• Responds to payroll inquiries from managers and employees in a timely manner
• Conduct variance analysis of payroll after each payroll
• Maintains and updates holidays annually, earnings codes, and shift differentials in ADP
• Transmit 403(b) deferrals and Flex account deductions to third-party administrators
• Reconcile 403(b) loan payments, 403b, and Roth deferrals monthly and quarterly to the Trust statement
• Experience in resolving payroll errors and discrepancies while being able to record the corrections and recording payroll expenses and accruals to the general ledger in accordance with GAAP
• Reviews State and Federal quarterly returns prepared by Third Party
• Improve and document payroll policies and procedures
• Assist in the financial audit and lead the 403b audit
• Additional responsibilities as requested by the Accounting Manager.

Qualifications and Competencies:

• Bachelor’s Degree with 2 years of payroll experience, preferably in the non-profit sector for over 200 employees.
• Experience with payroll systems, preferably ADP Workforce Now.
• Experience with accounting software packages, preferably Sage MIP.
• Strong math and analytical skills; solid understanding of payroll calculations, including overtime, shift differentials, and on-call shifts
• Knowledge of wage and hour laws, regulations, and best practices
• Ability to prioritize and work accurately with close attention to detail; strong time management skills and an ability to work independently.
• Excellent written and oral communication skills.
• Proven expertise with MS Excel.

Position Details and Compensation:

This is a full-time, onsite (in-person) position, and is based out of our Oakland office in Fruitvale. Salary range $75,000-$95,000 per year depending on experience, and includes benefits, 403b, and performance-based compensation plans.
