ABOUT THE ROLE:

We are seeking a highly skilled Senior Payroll and Compliance Specialist to take charge of our Corporate payroll functions. Your primary responsibility will be to ensure accurate and timely payment of payroll expenses and taxes. Collaborating with professionals from various departments will be key aspects of your role.

We are looking for an individual who is analytical, methodical, and experienced in payroll administration. A deep understanding of payroll regulations is crucial. Additionally, we value qualities such as integrity, team spirit, and strong organizational skills.

Your ultimate goal will be to maintain compliance, streamline payroll procedures for efficiency, and stay updated with current regulations and best practices.

As our Senior Payroll and Compliance Specialist, you will play a vital role in safeguarding the financial well-being of our organization and ensuring our employees are paid accurately and on time. Join our team and develop systems to process payroll account transactions (e.g. salaries, benefits, garnishments, deductions, taxes and third-party payments)

IN THIS ROLE YOU WILL:

  • Oversee and direct payroll procedures for corporate payroll
  • Research and ensure compliance with federal, state, and local laws to keep abreast of changing legislation regarding wage garnishments & deductions (SUI, SDI, etc.), wage and hour, earnings & tax compliance, and internal policies and best practices.
  • Implement, maintain, and review payroll processing systems (timekeeping, HRIS, etc.) to ensure timely and accurate processing of payroll transactions including new state set up, salaries, benefits, garnishments, taxes, and other deductions.
  • Maintain accurate records and reports for payroll related transactions
  • Ensures accurate and timely processing of payroll updates including new hires, manual checks, terminations, merit and changes to pay rates
  • Collaborate with HR and Finance to draft payroll procedures and other payroll compliance matters; as well as, examine and analyze payroll and tax procedures within HRIS
  • Collaborate with our benefit vendor and HRIS Analyst to assist in year-end reporting, (1095c, W-2 etc.
  • Manage all audits and financial reporting needs for corporate payroll by collaborating with other HR team members, Finance and auditors 
  • Collaborate with Finance tax team for new hire set up in new states established, (i.e. State tax, EDD/SUI)
  • Resolve issues and answer all payroll-related  questions; requests for employment verifications, EDD/PFL inquiries, etc.
  • Create, Maintain, and file New Hire documentation, including maintaining employee records
  • Identify and recommend updates to payroll processing software, systems, and procedures.
  • Assist with Company Events and HR programs as needed
  • Performs other duties as assigned

BASIC QUALIFICATIONS:

  • BS/BA in Business Administration, Accounting, Human Resources or related field; professional certification (e.g. CPP, CPM) is a plus
  • Minimum of 5 years of payroll and compliance experience
  • Maintain professional and technical knowledge of all federal, state, and local payroll, wage and hour, SUI, Disability and tax regulations and laws.
  • Excellent understanding of multi-location payroll and taxes
  • Advanced proficiency with payroll software/ HRIS (e.g. SAP, ADP, Kronos) and MS Office (especially Excel)
  • A keen eye for detail; analytical mind and good math skills
  • Ability to multi-task and make good judgement calls on priorities
  • Well-organized, pro-active, and able to take multiple directions
  • Outstanding communication skills (written and oral)
  • Organizational and leadership skills

WORK ENVIRONMENT:

  • Ability to lift 25 lbs.
  • Prolonged periods of sitting/standing at a desk and working on a computer
  • Regularly required to sit, stand, and walk and occasionally kneel or squat
  • No travel required
  • Standard start time: 6:30 AM (negotiable)

EXPECTED COMPENSATION

$75,000 - $275,000 / annual salary + premium benefits  

Pay offered may vary depending on multiple individualized factors, including market location, job classification, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered. Details of participation in these benefit plans will be provided if a candidate receives an offer of employment.
