The Senior Payroll Consultant plays a pivotal role in managing the day-to-day payroll operations for both the USA and Canada within Kainos. This position ensures that payroll processes are executed accurately, efficiently, and in compliance with relevant government regulations. Additionally, the Senior Payroll Associate provides exceptional customer service to Kainos employees and collaborates with external payroll platforms to maintain seamless operations. Duties include:
- Employee Support: Serve as a primary point of contact for employee inquiries regarding payroll-related matters, providing timely and accurate information and assistance.
- Payroll Processing: Ensure the accurate and timely processing US & Canadian payroll, including but not limited to new hires, terminations, changes to pay rates, and benefits adjustments. Additionally, processing involuntary deductions, such as garnishments and court ordered payments. Processing manual payments/ACH transactions.
- Record Keeping: Prepare and maintain meticulous records and reports of payroll transactions, ensuring compliance with record-keeping standards and best practices.
- Compliance: Ensure compliance with federal, state, and local payroll, wage, and hour laws, as well as adherence to best practices in both the USA and Canada.
- Audit Facilitation: Facilitate audits by preparing and providing necessary records and documentation to auditors, ensuring smooth audit processes.
- Systems Enhancement: Identify opportunities for improvement in payroll processing software, systems, and procedures, and make recommendations for enhancements or updates.
Minimum (essential) requirements:
- Payroll Expertise:
- Minimum of five years of related experience in payroll management, demonstrating a track record of success and progressive responsibility.
- Possess extensive knowledge of payroll functions, including preparation, balancing, internal controls, and payroll taxes.
- Regulatory Knowledge:
- Demonstrate a thorough understanding of relevant legal regulations governing payroll in both the USA and Canada, including benefits administration.
- Demonstrate a commitment to ongoing professional development to stay abreast of changes in payroll regulations and best practices.
- Communication Skills: Display excellent communication and customer service skills to effectively address employee inquiries and collaborate with stakeholders.
- Analytical Skills: Utilise strong analytical and skills with exceptional attention to detail to identify and resolve payroll-related issues efficiently.
- Software Proficiency:
- Proficient in Microsoft Office Suite or related software, as well as payroll-specific software.
Desirable Criteria:
- Bachelor’s degree in accounting, Business Administration, Human Resources, or a related field.
- Experience using Workday.
- Experience with Paylocity preferred, showcasing proficiency in payroll software.
