The Senior Payroll Specialist has a full range of payroll responsibilities, including understanding end-to-end payroll processing and providing exceptional service to internal and external stakeholders. As the Senior Payroll Specialist, you will have honed expertise in at least one advanced payroll function including, but not limited to payroll tax compliance, payroll accounting, or end-to-end international payroll processing. This person may be responsible for payroll transactions, tax audits, software maintenance and innovation, and other general tax law research. This role may lead maintenance of all federal, state, and local tax profiles within enterprise systems, journal entries for payroll transactions, reconciliation of payroll cash accounts, and SOX reporting and documentation compliance. This person will be highly collaborative and an exceptional team player.

Job Responsibilities

Payroll Tax Compliance

  • Remit tax payments based on payroll transactions and verify deposits for accuracy while following strict SOX compliance audits and federal, state and local tax laws
  • Review the accuracy and timeliness of tax returns and deposits as submitted in the review process
  • Ensure the highest level of compliance with internal control responsibilities of all tax review and table maintenance processes under their responsibility, including general ledger items and reconciliations
  • Constantly work with payroll software systems with emphasis on periodic maintenance, updating tax rates, and generating the appropriate employee or employer data
  • Reconcile taxes remitted with statement of deposits sent to federal and state agencies
  • Process accurate and timely year-end reporting related to W-2s, benefit statements, etc.
  • Serve as the escalation point on complex tax issues involving multistate travelling, proper state to state taxation, and year end inquiries, as well as supporting general resolution as needed
  • Implement amendments such as W-2Cs and quarterly amendments as needed
  • Understand relevant tax laws and regulations to process tax adjustments, and make recommendations to drive efficiency and accuracy
  • Assist with administrative tasks and other assignments as required

International Payroll

  • Able to lead end to end international payroll process to ensure all transactions are validated within the international payroll system and verified for accurate payment
  • May maintain relationship with multiple international vendors, including developing relationships to foster positive communication to ensure Employee inquiries are handled timely
  • Develop understanding of payroll compliance including wages, benefits, and tax within each country
  • Continuously identify process efficiencies and enhancements in a complex international payroll processing environment
  • Facilitate audit requests by ensuring records and documentation is provided to internal and external stakeholders

Payroll Accounting

  • Research, maintain/create Payroll G/L entries, based on multiple frequencies (biweekly, semimonthly, monthly) for multiple entities within nCino (Domestic and International)
  • Understand and research evolving regulations in payroll accounting, and recommend changes to ensure compliance in a multi-jurisdictional environment
  • Reconcile the cash statements for all payroll related accounts
  • Reconcile numerous payroll related accounts including payroll clearing, 401k, and ESPP for multiple entities within nCino (Domestic and International)
  • Complete complex quarterly and annual fiscal year and calendar year reviews based on SOX compliance
  • Facilitates and assists with audit requests by providing records and documentation to internal and external stakeholders

Payroll Specialist

  • Able to lead end to end payroll process to ensure all transactions are processed accurately and timely, including reconciliations prior to transmission and report validations.
  • Develop in-depth understanding of payroll system to be able to create ad hoc financial and operational reporting as needed.
  • Independently research, analyze and resolve payroll related problems.
  • Drive innovation by identifying process opportunities and recommending solutions
  • Support team with complex payroll issues and offer guidance to resolve issues
  • Ability to interpret and articulate federal and state regulations, and recommend best practices to align to evolving regulations
  • Manage and respond to payroll inquiries with a customer-centered approach

Qualifications

Required:

  • Bachelor's degree in accounting, finance or a related field, 4+ years of relevant experience or a combination of education and experience
  • 4+ years processing multi-state payroll, including experience managing the end-to-end payroll process
  • Effective verbal and written communication skills in a team environment, with ability to effectively communicate at any level of the organization
  • Knowledge of federal and state regulations impacting payroll
  • Strong PC skills including proficiency in Excel
  • Ability to deal with difficult, sensitive and confidential material
  • Effective time management with ability to adapt to changing priorities

Desired:

  • General knowledge of accounting practices and principles
  • Certified Payroll Professional (CPP)
  • Experience with Workday or comparable enterprise system
  • International payroll experience
