Senior Project Coordinator
Job Description
The primary function of the Project Coordinator is to provide Eaton Corporation's customers and project managers with product, delivery, claims/returns, and project information. This includes managing customer orders, order entry, processing change orders, and tracking orders through to delivery. Successful candidate will also be responsible for maintaining accurate order information, validating price, entering and maintaining information in various systems, and managing strategic, large or complex accounts with an emphasis on world class customer service.
The essential functions are:
- Entering orders for equipment or services in multiple systems and tracking to delivery and completion
- Gathering, tracking, and reconciliation of project costs to ensure accurate financial reporting
- Proactively communicates in a timely manner with external customers about order verification, order status, pricing and shipment status. Communicates in a timely manner with operations to verify lead times, schedule customer orders according to their delivery needs and communicate special handling requests.
- Authorizes RMA (Returned Material Authorization) requests and issues RMA numbers. Investigates claims by conducting fact-based investigation.
- Maintains accurate and organized order files, order acknowledgments, and customer contact information.
- Enters new orders from customers, with emphasis on error-free order management. Enters changes and cancellations using established business rules.
- Coordinates shipments and communications critical items per orders.
- Promotes customer satisfaction and achieves cycle time reduction through team-based problem solving.
- Work within project groups interfacing with finance, applications, and various other personnel to achieve project deadlines.
- Process customer invoicing requests.
- Fosters an environment that promotes Eaton's goals and philosophy, encourages continuous improvement, and builds customer relationships.
- Ability to work in a fast-paced environment while maintaining a constant workflow in a manner that provides the most efficient and highly productive work environment.
Qualifications
Basic Qualifications:
- BA/BS Degree from an accredited Institution
- Minimum of 5 years' experience managing orders and interfacing with customers (internal and/or external) and experience in an organization fulfilling detailed contract requirements
- Legally authorized to work in the United States without company sponsorship
- Must reside within a 50-mile radius of the work location(s) listed on the posting as relocation is not being offered for this role
Preferred Qualifications:
- Experience coordinating projects and resources
- Proven ability to manage multiple projects simultaneously
Position Criteria:
- Successfully complete and maintain compliance with Eaton's safety program & policies
- Strong focus on customer satisfaction and relations
- Strong communication and interpersonal skills, with ability to be flexible to adjust to changing priorities in a fast-paced work environment
- Proficiency in systems software, such as Vista, Oracle, SAP, QlikView, COGNOS, Microsoft Office and various other programs
- Ability to influence others without direct authority
