The Team

The Global Communications team is responsible for shaping internal and external use of foundation voice in order to protect the foundation's reputation and advance its priority advocacy and program objectives and ensure that employees are meaningfully connected to the foundation's mission and community. The team is responsible for comprehensive voice planning for foundation leadership and key spokespeople as well as driving engagement with media.

In June 2020, the foundation hired a Chief Communications Officer and established a new Communications Division to oversee the foundation's global communications strategy. The division brings together internal and external communications to advance the foundation's mission of a more equitable world.

Your Role

The Senior Project Manager plays a key role providing support to multiple aspects of the team's work developing and executing on voice strategy for the foundation's senior leadership. This includes leading multiple projects that comprise a range of deliverables, working with US and regional-based staff as well as co-chair private offices for input. The role reports to the Deputy Director, co-chair communications.

What You'll Do

  • Lead organizational aspects of writing tasks for the foundation's co-chairs, working with the Senior Editor/Writer. This includes developing workback plans and routing drafts for approvals.

  • Track co-chair time and voice and provide weekly reports to executive leadership.
  • Participate in trip kick-off meetings to gather potential writing deliverables and understand timelines.
  • Plan and convene project meetings / working group meetings related to co-chair trip writing deliverables.
  • Assist with finalizing briefs and work closely with the trip planning team and executive office to ensure timely completion.
  • Provide planning support to correspondence writing for co-chairs.

  • Develop processes and knowledge management approaches to streamline and improve the efficiency of the co-chair communications work.
  • Collaborate with regional communications teams to support trip planning.
  • Develop and update strategy slide decks for the team.
  • Chip in to team building and development activities.

This role is anticipated to have up to 25% domestic and international travel.

Your Experience

  • The Senior Project Manager should have experience working with multiple timelines and projects at once, balancing across priorities.
  • Work with high-level executives to solicit feedback on results.

  • Collaboration with colleagues across teams and divisions, regardless of reporting structure, to achieve project goals.
  • Shown attention to detail and ability to quickly provide updates on status to ongoing projects.
  • Experience working in a fast-paced, dynamic environment with the ability to adapt to changing priorities and handle ambiguity.
  • Strong partner leadership skills, with the ability to effectively communicate and collaborate with individuals at all levels of the organization, including senior executives.
  • Knowledge of project management methodologies and standard processes, such as Agile or Lean, and the ability to apply them to drive project success.

  • Experience in developing and implementing effective project management processes and tools.
  • Familiar with Microsoft productivity suite, including Teams; project management software, such as Airtable.
  • You are strategic, proactive, adaptable and a problem-solver. You are able to work under pressure with poise and operate with alacrity in a fast-paced and respectful environment, ideally with experience navigating large, matrixed, global organizations. You also bring respect and curiosity to working with colleagues from around the world with a client service mentality. You are creative, resourceful, and have excellent judgment, and you enjoy collaboration.

*Must be able to legally work in the country where this position is located without visa sponsorship.

*This role is Seattle based role so must be willing to relocate if not already located in the area.

The typical salary range for this role is $101,100 - $188,100 USD. The exact offer will be determined by a variety of factors such as the candidate's individual skills, qualifications, and experience relative to the requirements of the role.
