This role is within the TOMRA Food division.Â
Job Description
The purpose of this position is to oversee and manage the end-to-end project order processing cycle, ensuring accuracy, efficiency, and timely completion of orders. The Senior Project Order Specialist will collaborate closely with cross-functional teams to coordinate and execute projects, maintaining a high level of customer satisfaction.
The purpose of our department is to add value to TOMRA Food by delivering high quality, accurate order management to satisfy the needs of both internal and external stakeholders, with a continuous improvement mindset.
Key Responsibilities:
- Work as a team to deliver on all project order related duties including:
- Creating sales orders, referring back to the respective Sales and Service teams for any queries or clarification
- Generating invoices for parts once sales orders are raisedÂ
- Generating invoices for projects with âshippingâ status in a timely manner
- Moving projects to closing status i.e., issuing deposit invoice (sales support) once signed contract/customer purchase order is matched with pricing sheet
- Review the instalment due for invoicing report to identify projects with chargeable installs and follow up internally for additional information e.g., amounts to be charged and project milestone dates
- Close out projects once commissioned
- Ensuring leasing contracts are managed effectively and invoiced appropriately
- Gather and compile customer information and maintain records as required ensuring accounts can be processed accurately
- Supports the planning & order management function as required
Project Order Management
- Manage the complete order lifecycle, from order entry to fulfillment, ensuring accuracy, timely processing, and adherence to established procedures.
- Collaborate with internal and external stakeholders to coordinate project timelines, order data accuracy, and ensure seamless execution.
- Maintain accurate records, documentation, and compliance with company policies, procedures, and regulatory requirements.
- Identify and resolve order-related issues, discrepancies, and customer concerns in a timely and effective manner, ensuring customer satisfaction.
- Continuously assess and streamline project order management processes to improve efficiency, accuracy, and overall performance.
- Treating the business as a customer, setting expectations, and ensuring customer delight. Perform regular audits of performance against customer needs and expectations, and adjust style and activities accordingly.
Qualifications
- Proficient knowledge of financial structures and processes
- Commitment to continuous improvement
- Proficient in Microsoft Office products, in particular Excel, Word, PowerPoint, and Outlook
- Accurate data entry skills

Experience
- 10 yearsâ plus of proven experience in order management/administration, project coordination, or a related role.
- Systems knowledge within the Lead to Order and Order to Cash cycle
- Experience with Tier 1 or 2 ERP systems
- Relevant industry experience preferred.
Education
- Bachelor's degree or equivalent experience in Finance, Accounting or Business.Â
Pay Band
For U.S. applicants, in accordance with applicable disclosure requirements, the anticipated annual base pay range for this position is $60,000 to $66,000.
