Senior Recruitment Coordinator
Job Description
Position Summary:
The Senior Recruitment Coordinator is responsible for the day-to-day coordination and scheduling support for the clinical recruitment team. The Senior Recruitment Coordinator is responsible for scheduling interviews for potential candidates, reviewing leads and assigning to the appropriate recruiter, coordinating meetings for onboarded physicians and clinical personnel, and managing the clinical recruitment team calendar.
Description of Duties/Essential Functions:
- Read and respond to emails, calls, text, slack, etc.
- Create leads from referrals and partners like CHG, All Star Recruiting, etc.
Coordinate and scheduls meetings/interviews with DOR and candidates per request
o Match calendars based on availability of DOR and candidate
o Create calendar invite with Zoom meeting attached
o Attach candidate CV
o Send calendar invite and follow-up email to all attendees
o Log meeting into Salesforce
o Update recruitment stage in Salesforce
Coordinate and schedule meetings/interviews with candidates and SLC per request
o Refer to above steps
o All SLC's - 11 different service lines
Send Welcome Call emails to onboard physicians/APPs
Coordinate and schedule all Welcome Calls for onboard physicians/APPs
o Match calendars based on availability of ~10 attendees in CLP, liaisons, and candidate
o Create calendar invite with Zoom meeting attached
o Send calendar invite and follow-up email to physician/APP
o Log Welcome Call into Salesforce
o Send follow up reminders
Manage Sr Director of Recruiting calendar and check for overlapping or rescheduling PRN
Update leads in Salesforce daily
Send out reminder emails to all recruitment candidates' day before and day of meetings
Notarize documents for CLP team
o Attestation of identity
o Documents sent via slack
Meet with Patient Square point of contact every Friday to send emails to physicians/APPs that are in CLP stage
o Update Excel tracker via Box
§ Load latest data daily (IP Creds, IP Licenses, IP Privs, Active Privs tabs)
§ Send out emails to providers at each stage
Create weekly update for Sr Director of Recruitment of Neuro candidates in pipeline
Attend Welcome Calls per week
Track metrics of weekly interviews
Requirements
Education and/or Experience:
- Bachelor's Degree
- Ability to streamline incoming requests from various sources
- 3+ years of healthcare related experience
- 2 years of experience in SalesForce: pulling reports, manipulating data, creating new reports, etc.
Knowledge, Skills, and Abilities: (technical, interpersonal, etc.)
- Excellent computer skills and familiarity with Microsoft Office programs
- Superior interpersonal communication skills through various channels
- Ability to work in a cross-functional and matrix environment
- Strong organizational and time management skills
- Ability to work independently, but function as part of a team
- Detail oriented
- Flexibility and willingness to take on new tasks with guidance
- Demonstrated analysis skills and the ability to effectively resolve problems or issues with minimum supervision
