What You Can Expect

As the Site Administrator I for ENGIE's University of Iowa location, your role encompasses providing essential support to the Managing Director and Management Team through administrative functions and procurement related to the plants. You will also serve as a Subject Matter Expert on corporate policies and procedures. Your responsibilities include offering effective administrative assistance to plant managers and technical employees as needed.

On a daily basis, you will collaborate with the Plant Leadership team to ensure the reliability of financial statements, operational efficiency, and compliance with laws and regulations. This involves close coordination with settlements and supply groups to ensure accuracy in margin activity, reconciliation of billed revenue, management of Renewable Energy Credits/Allowances settlements, processing ISO invoice payments, reconciling cash forecasts, and fulfilling requests for financial information from auditors and management. You will also be responsible for generating purchase orders to vendors, expediting and ensuring the timely delivery of orders, and closing out purchase orders. Additional purchasing responsibilities include processing invoices, entering receipts, ensuring prompt payment to vendors, and providing training to plant personnel on requisition and purchase order processing. Additionally, you will work with partners and vendors to initiate and maintain contracts for various services such as building maintenance, Parking & Transportation, vehicle maintenance support, vehicle fuel/WEX accounts, uniforms, and PPE programs. In this role, it's crucial to acquire and maintain subject matter expertise in site procedures, office administrative practices, and corporate policies to ensure the efficient operation of the plant administrative office in compliance with standard practices. You will also be responsible for maintaining office continuity and ensuring an adequate inventory of office supplies. Your routine administrative tasks will include data entry, word processing, file maintenance, mail handling, and assisting visitors. Moreover, you will establish and oversee the site filing system, which includes regulatory reports and records, an up-to-date employee database, and other necessary administrative records and reports. Furthermore, you'll assist Managers/Supervisors in scheduling and coordinating travel arrangements for employee workshops and technical training schools, as well as managing staff arrivals and departures in accordance with locally required On-Boarding and Departure procedures.

What You'll Bring

  • High School Diploma or GED Equivalent required
  • A minimum of two (2) years of experience or education in which you have learned the administrative support functions described previously in a plant or corporate environment
  • You have excellent communication skills, proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint. You must be able to create spreadsheets and apply functions in Excel, produce professional presentations in PowerPoint, and craft professional communications in Word
  • Experience with purchasing and purchasing software such as Coupa
  • Experience with, or ability to learn Computerized Maintenance Management Systems or time keeping software
  • You are experienced in planning and working independently as well as being a collaborative team player, accomplishing tasks in this role often requires coordination between multiple departments or with our University stakeholders

  • Must possess a valid U.S. driver's license/clean driving record Use of company owned vehicles is required

Compensation

Salary Range: $27.45 - $39.42 USD hourly

This represents the average expected pay range for a qualified candidate.

In addition to base pay, this position is eligible for a competitive bonus / incentive plan.
