Job Description

Position Purpose  

Site Support Coordinators play a critical role in ensuring exceptional service to internal and external customers, particularly for project phases executed outside of TAIT’s manufacturing facilities (onsite). The person in this position acts as a first responder to time-sensitive requests from project teams, support managers, or tour crews acknowledging and prompt addressing all inquiries, and ensuring a seamless workflow.  

Site Support Coordinators are knowledgeable of the TAIT Project Process and adept at fulfilling multiple roles to optimize and expedite responses. Each person in the position will have a Market focus, while providing backup to each other and facilitating additional support as needed. 


Minimum Qualifications 

  • Minimum of a High School Diploma / GED required; Bachelor's degree preferred 
  •  Minimum 2 years of experience in a project support or coordination role, preferably within the entertainment or live event industry OR 1+ year(s) of TAIT experience, including time spent in another department or office location 
  •  Experience working within a fast-paced and demanding environment, coordinating complex schedules and deadlines. 
  •  Familiarity with live entertainment production elements and equipment (a plus).  

Skills and Abilities: 

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software; familiarity with TAIT's project management process, a plus 
  • Strong organizational and communication skills, with the ability to manage multiple tasks and priorities simultaneously 
  • Excellent written and verbal communication skills to effectively interact with internal and external stakeholders, including project teams, support managers, site and tour crews, and vendors specialized by market 
  • Strong analytical and problem-solving skills with the ability to assess situations quickly and develop solutions 
  • Ability to work independently and take initiative, while also collaborating effectively as part of a team 
  • Attention to detail and accuracy in maintaining records and generating documents 
  • Ability to travel domestically and potentially internationally to support projects on-site, minimal 
  • Strong understanding of safety protocols within the live event and entertainment industry 

Preferred Skills: 

  • Experience with inventory management systems (e.g. Epicor, SAP) 
  • Working knowledge of logistics, shipping, and procurement procedures. 

Essential Responsibilities / Accountabilities 

Promptly acknowledge all Site Support requests to ensure immediate assessment of resources required. 

Plan, direct, and communicate needs to resources involved in responding to a Site Support request. 

Communicate regular progress updates to all parties involved in a Site Support request. 

Plan and coordinate shipping requirements. 

Collaborate with Procurement or take lead with Outsource Subcontractors or Vendors. 

Maintain detailed records of all new and active requests. 

Organize and transact work consistent with Project job structure. 

Generate and maintain documents for internal and external use (e.g. manifest, carnet, packing lists) 

Develop and maintain knowledge of Market-relevant solutions and equipment. 

Operate with a high level of independence to work efficiently and quickly. 

Regularly multi-task, while balancing, verifying, and communicating priorities. 

Collaborate with Project and Functional leaders to highlight priority conflicts. 

Coordinate backup and extra support via Project Managers, Integrators, or other relevant functions 

Develop and maintain strong cross-functional and operational relationships. 

Provide support for global projects that require support from Lititz resources. 

Demonstrate TAIT’s Leadership and Inclusive Culture Framework. 

Regularly clock and submit time (Bedrock). 

Be active outside of business hours as required, with provided offset to balance work week. 

Perform assigned duties according to the policies and expectations prescribed by the company.
