Site Visit Coordinator
Job Description
Sentry Management, a leader in the Community Management industry is seeking a Site Visit Coordinator for our Albuquerque NM office! The Site Visit Coordinator is responsible for providing administrative and community management support for all division community managers and the division as a whole.
ADMINISTRATIVE RESPONSIBILITIES:
- Assist and support Community Managers as required.
- Create, maintain, and enter information into databases.
- Respond to requests, emails, and calls in a reasonable amount of time
- Provide written reports regarding site visits and other community items
- Upload and maintain community files in in CommunityPro®; verify all profiles are accurate and current
- Working knowledge of CommunityPro®
- Update CommunityPro® with new, final and corrected violation
- Utilize CommunityPro® to track interactions with homeowners (collections, ARC, Managers Notebook, Rules and Regulations, etc....)
- All other duties as assigned
CUSTOMER SERVICE RESPONSIBILITIES
- Promotes Foundation Principals at all times and maintains a positive and respectful work environment
- Approaches work daily with a positive "Can-Do" strategy.
- Ensures that all incoming telephone calls are courteously and efficiently handled and that messages are accurately documented
- Serves as a Helpful Expert in exceeding customer expectations on a regular basis
- Coordinate with CAMs on association duties requiring assistance such as violations
- Support management team in delivering the cadence of communication
- Must possess a positive attitude and ability to convey under all circumstances
- Respond to emails and phone calls within 1 business day
- Work with residents to find solutions to problems/issues as they arise
COMMUNITY MANAGEMENT RESPONSIBILITIES (as assigned)
- Assist in performing property visits
- Provide guidance and meeting information to all homeowners regarding process for attending the Covenants Committee Meetings
- Work closely with ARC Coordinator in instances where a violation turns into an ARC application
- Visit properties to view and take pictures according to the schedules set in place
- Support in managing homeowner calls and requests
- Maintain and understand all documents, Rules and Regulations
- Disseminate communications information
- Assist in the completion and distribution of violation letters
- Identify and record violations of association governing documents
- Sustain maximum client satisfaction
- Follow a 'safety first' principle
- Ensure that all unsafe conditions are reported in a timely fashion
REQUIREMENTS
- Licensed to operate a motor vehicle with a clean driving record
- Ability to sit or stand for long periods of time
- Be able to work independently with minimal supervision
- Maintain a professional demeanor in all interactions with clients, team, and internal departments
- Familiar with Microsoft Office Suite to include Outlook, Excel, Word, etc.
