The Team works with the business, subcontractors and vendors to obtain the products, software, and services needed to run the business and deliver critical products and solutions to our customers. Overview:
The Special Projects Coordinator supports the Supply Chain and Procurement Legal Team through administrative duties and management of special projects within the Team’s Center of Excellence (COE) Structure. The Center of Excellence is a mechanism by which the Team is organized and dispatched across six different focus areas to address regulatory and administrative changes in support of the larger Supply Chain and Procurement Organization. Your primary goal is to maximize the Team's efficiency by optimizing daily operations and resources. This non exempt part-time position (up to 20 hours per week) will be remote.
Responsibilities:
- Maintain Supply Chain and Procurement standard contract template change management and governance process including location of the template repository, archival activities for templates that have been revised, tracking active and past updates, working with Procurement to ensure updated purchase order templates and other standard agreements are uploaded to our contracting/PO website, and maintaining naming conventions and other infrastructure rules as set by Supply Chain and Procurement Legal. - Monitor various websites as directed for relevant upcoming changes to applicable laws and regulations and alert the cognizant member of the Legal team of the changes for further review and analysis by Legal. [Regulatory COE]
- Coordinate and schedule internal continuing education and product training for the Legal Team and other stakeholders as required. Support the development of training content that is created and supported by the LMS/LXP platform (or equivalent). [Training COE]
- Maintain all native files for internal policies, procedures, training packages, playbooks, and other assets generated by the Team for consumption and use by key stakeholders. [Policies/Tools COE]
- Assist in the maintenance and updating of Delegations of Authority (DOA) including working with other colleagues to ensure updated DOAs are properly updated, stored, and archived in the company’s central repository for each of use. [Policies/Tools COE]
- Maintenance of the “Legal Procurement Tools” intranet page (BatChat). [Policies/Tools COE]
- Provides administrative support to the Lead Counsel(s) in certain limited activities associated with Mergers/Acquisitions integration. [M&A COE]
- Collects, collates and stores internal records and correspondence related to the winding down of Motorola entities in accordance with Motorola Retention Schedules and Policies. [M&A COE]
- Support the accurate collection and response to key internal data calls [Admin]
- Draft the quarterly Center of Excellence Report [Admin]
- Calendar management and maintenance for the VP, Legal and ESG; including coordination with various Executive Assistants to scheduling opportunities with various Executives and leaders [Admin]
- Processing of travel expense reports for members of the Team as needed (approx 3% of time) [Admin]
- Coordination and management of other special projects and duties as may be assigned from time to time.Â
Desired Skills/Qualifications:
- 4 or more years of experience in project management, operations, or other relevant experience consistent with this role.
- Experience applying knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities
- Excellent MS Office knowledge
- Ability to multi-task and employ strong time management skills while being well organized and detail orientedÂ
- Basic Research Skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Project Management experience is a plus
- Paralegal experience is a plus
- Excellent problem-solving skills, sound judgment and decision-making skills
- Strong interpersonal, presentation and communication skills (including written and verbal)
- Ability to participate and collaborate in meetings with attorneys, management, and other parties with regard to duties assigned.Â
- Ability to understand the Team’s objectives and the business objectives of our internal clients.
- Bilingual (Spanish) is a plus
- Bachelor’s Degree is a plus
Note: This is a part-time role and candidate may reside anywhere in the US
