Job Description
Department Summary:
MITRE InfoSec is the organization responsible for the unclassified information security program within MITRE. Our protection of MITRE covers both Operational and Services functions, ensuring an industry leading, comprehensive security program.
Roles and Responsibilities:
- Schedule/plan department/division activities, meetings. Anticipate, analyze, and proactively react to changes in priorities and tasks; apply strong self-organization and management, and demonstrate proactive initiative and follow-through on a broad range of administrative actions. Track deadlines, as required.
- On an as requested basis from management, maintain calendars including the placement of meetings, proposing/posting of meetings via Outlook, coordination with others who desire to establish a meeting, prioritizing meetings, and represent the staff in establishing a meeting across either the Corporation or with external organizations. Organize face-to-face and virtual meetings & events, to include planning, invitations, protocol for VIP visitors and coordinate services for events (AV, catering, security, etc.).
- Manage/coordinate travel arrangements for all mgmt. and staff within the InfoSec organization to include local travel, security forms, coordination with the visiting location, and alternative arrangements when the plan changes. Generate reimbursement expense reports in a timely manner, upon trip completion.
- Order office supplies, track & complete weekly reallocation reporting through the Visa Spend Clarity for Enterprise system for all PCard purchases, input all purchase requisitions to the MITRE Procurement Portal, and track all purchases.
- Maintain/submit organizational inputs for corporate Intranet (SharePoint, TEAMs, Workday). Ensure accuracy and timeliness of data.
- Manage the coordination, submission, or updating of various regular InfoSec deliverables (e.g., Teleworker agreements, weekly Ops reports, TRS timecards, weekly highlights, org charts, InfoSec Knowledge Shares, etc.).
- Assist as a member of our Customer Engagement component with the delivery of various efforts (e.g., level 1 support, inbox handling, sprint remediations, etc.)
Minimum Qualifications:
- Secret clearance required
- 5+ years of administrative experience
- Demonstrated proficiency with:
- Microsoft Office suite (Excel/PPT/Word/Outlook/Teams)
- Concur (travel & expense)
- MITRE Procurement P2P
- Workday
- Visa Spend Clarity for Enterprise
- Reservations@MITRE
Preferred Qualifications:
- Familiarity with basic Information Security topics
