The Role & Who We're Looking For?
Slalom Raleigh is looking to add vibrant, fresh talent to our internal Operations team and for someone to "hold down the fort" while our Operations Manager is on Maternity Leave from mid-January through late April/early May.
The Specialist, Team Operations role is an Operations generalist; with the unique opportunity to define their own career path within internal operations.
What You'll Bring
Our ideal candidate will have prior experience in events coordination (both in-person & hybrid events; ranging from small, no or low-budget to large-scale with significant budget), proven ability to manage multiple projects, and the desire to provide both executive & office administrative support as needed. This person will be the ambassador to our local culture and support the entire employee experience lifecycle.
What You'll Do
Office Administration
- Primary face behind the day-to-day operations of the Raleigh Office
- Responsible for general office management: liaison with our WeWork/ building management team, liaison with our Slalom Global Services functions (IT, HR, Spaces, Safety),
- Offers a hospitable, warm, and contemporary experience within our space.
- Directs central email requests to appropriate individuals
- Inventories and orders office, gear, and kitchen supplies, including life event purchases (baby, engagement, wedding gifts & awards)
- Receives and organizes mail and packages
- Coordinates supplies & catering orders and processes invoices with AP
- Maintains office budgets
- Primary owner of all internal, office-wide communications. This includes (but is not limited to!) creating the creative content & copy for all employee event calendar invites, all-hands team meeting invites, and the monthly office newsletter.
- Partner with members of the leadership team to create message copy & templates for external marketing communications as needed.
- Responsible for coming up with new and creative ways to recognize our employees and improving upon their workplace experiences
- Supports new hire first day experience through administrative tasks & calendaring
- Supports employee off-boarding
- Support efforts to create and execute on Slalom Culture
- Support special projects as needed for team
- Will be responsible for the ideating, planning, and execution of both internal employee events and externally facing marketing or other events. This includes but is not limited to: set-up/break down of events, collateral, venue sourcing, contracting, theme, registration, event website, communications, rooming lists, food & beverage, swag, AV, content, etc.
- Schedule large meetings and securing conference rooms in and out of office space
- Coordinates all catering needs (include set up & breakdown)
