Essential Function

The Sr. Project Manager/Methodology Coach, in conjunction with the Director of PMO, regulates the flow of project work within Information Technology and adherence to the Software Development Lifecycle. Must be proactive, results-oriented, and solution-focused and possess good business judgment to effectively steer project teams. Responsible for process development, education and adherence along with core PMO reporting functions. Solid understanding of waterfall and/or agile methodologies and familiarity with use of relevant tools to ensure projects stay on track and on budget.

  1. Act as liaison with IT Managers to align on business requirements and stakeholders to have a clear understanding of expected PMO and project delivery outcomes.
  2. Using Quickbase, Smartsheet and other tools to initiate project and task level tracking, create timelines, and tasks for work to be done with the help of subject matter experts.
  3. Continuously analyze project plans and timelines including deliverables, dependencies, assignments and outcomes.
  4. Continuously keep the project team and leadership informed as to the projects purpose, background, scope, requirements, and important issues.
  5. Prepare communication plan and project reports to key stakeholders to provide updates on activities and deliverables, as well as significant changes, risks and mitigation strategies.
  6. Lead steering committee meetings.
  7. Identify and manage overall project dependencies and ensure project deliverables stay on time and on target.
  8. Identify project risks and critical paths and manage the mitigation process with project team and stakeholders.
  9. Successfully deliver projects on time, on brand, and on budget with high quality.
  10. Follow development process and project management best practices, and drive their continuous improvement.
  11. Identify, appropriately escalate, and ensure resolution of issues.
  12. Complete other duties as assigned.

Primary Duties

Provide clear, concise communications to coordinate project execution through to the end of any hypercare period. Describe what is done, with or for whom the action is taken and the purpose or outcome to be achieved. Responsibilities in order of percentage of time spent performing the actual duty.

15% Initiation of the project

  • Define and mature the Project Scope.
  • Identify and confirm key stakeholders.
  • Project Scope Approval.

25% Planning the project

  • Develop the Project Management Plan.
  • Identify and Schedule the Project activities down to task level.
  • Identify and quantify potential risks and provide mitigation options.
  • Identify and quantify the project budget.
  • Align with key stakeholders and participants who will be responsible for tasks.

50% Executing, Monitoring and Controlling the Project

  • Complete the work defined in the Project Management Plan.
  • Coordinate and lead steering committee meetings.
  • Monitor the project (including schedule, work, and budget) so that corrective action can be taken when necessary.
  • Recommend potential options for corrective action when needed.
  • Provide regular updates to stakeholders and Leadership.
  • Insure documentation is developed at every step, including for ongoing support.

10% Closing the Project

  • Finalize all activities across the entire project including benefits measurement.
  • Ensure the business outcomes have been met.
  • Complete project closure documentation.
  • Complete hypercare period as needed and hand off to ongoing support.
  • Formally close the project.

Knowledge, Skills and Abilities

Required

  • College Degree.
  • PMP Certification or equivalent certification a plus.
  • 5+ Years of experience in Project Management in retail, preferably with Fortune 500 companies.
  • Ability to manage full project life cycle of multiple projects in a dynamic environment.
  • Excellent written and verbal communication skills.
  • Proficient with both Agile and Waterfall methodologies.

Competencies / Attributes

  • Extensive experience using project management platform and project management tools used for task/time/resource management. Familiarity with Smartsheet is a plus.
  • Self-Starter and ability to work with minimum supervision.
  • Lean Six Sigma certification is a plus.
  • Critical thinking and problem-solving skills and judgment for shifting priorities.
  • Detail oriented and able to maintain a high level of accuracy in assignments.
  • Ability to interact professionally with all levels of management.
  • Strong interpersonal skills and ability to work well in a team.
  • In-depth knowledge of the technologies and processes involved in specific areas of focus; Digital, Supply Chain, Financial (Oracle) Systems, HR, BI or Infrastructure.
  • Excellent administrative and organizational skills.
  • Proficient in written and verbal communication skills.

Working Conditions /Physical Requirements

Expectations are that this role will be present in office two days a week and work remote the remainder; Tuesdays and Wednesdays are the policy.

The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, retail stores, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lighted, heated, and ventilated.

The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, files, books, small parts; using a keyboard, driving an automobile, etc. No special physical demands are required to perform the work.
