Sr. Administrative Project Coordinator - Division of Student Affairs
Job Description
Carnegie Mellon University’s Community Life unit is searching for a Senior Administrative Project Coordinator. The Senior Administrative Project Coordinator for Community Life is responsible for directly supporting the mission of the departments within Community Life as part of the Division of Student Affairs: including Residential Education, First-Year Orientation and Family Engagement, and Fraternity and Sorority Life. This is an excellent opportunity for someone who thrives in a dynamic and challenging work environment. You will contribute to the organization by being responsible for administrative support to the Associate Dean for Residential Education and Associate Dean for First-Year Orientation and Family Engagement and indirect support to the areas of responsibility under the associate deans.
Core responsibilities will include:

Provide administrative support for events and services offered by the suite which may include food orders, space reservations, and facility requests.

Provides assistance and coordinates more complex administrative aspects in support of the various programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, orientation, move-in, lecture series, travel arrangements, etc.

Acts as a liaison or contact person with other university departments, i.e., Budget Office, Registrar, Property Management, Human Resources, etc., and with outside organizations

Manage schedule and calendar for those supported, e.g., leadership teams for Residential Education, First-Year Orientation and Family Engagement, and Fraternity and Sorority Life.

Assists in the research, preparation and processing of information for various projects that support the goals of the units within the Community Life Suite.

Assist in the support of managing departmental email accounts for Residential Education, First Year Orientation and Family Engagement, and Fraternity and Sorority Life.

Serves as initial contact and liaison, providing information/coordination via phone or in person for vendors, agencies, or other outside associations. Provides general information regarding research and non-research contracts.

Prepares agendas, assembles data, sets up and coordinates arrangements for meetings, conferences, workshops, etc. Takes and distributes minutes. Gathers data and produces statistical and narrative reports for meetings or projects.

Drafts correspondence, promotional materials, articles, reports, etc. concerning program/project area for supervisor's signature and/or approval.

Produces and assembles regular reports and summaries. Frequently required to respond directly to inquiries and requests regarding these reports.

Other duties as assigned that are critical to the support of the Community Life Suite.

Qualifications:Â

High School/GED diploma required; Bachelor’s degree preferred

3-5 years of administrative support and/or project coordination experience required

Applicants with prior collegiate administrative coordination and project coordination experience are preferred.

A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
