Sr. Executive Assistant
Job Description
SUMMARY OF RESPONSIBILITIES
The Senior Executive Assistant will be responsible for supporting the Chief Operating Officer (COO) and the Chief Human Resources Officer (CHRO), and performing departmental administrative tasks, spanning from clerical to strategic. This position will have frequent exposure to C-level executives and undertake special projects from the COO regarding the implementation of companywide strategic initiatives.
ESSENTIAL DUTIES
- Manage and maintain email and calendars for the COO and CHRO.
- Serve as the initial point of contact for the COO and CHRO by greeting and directing guests, replying to communications, and processing requests.
- Provide direct support in meetings by recording and distributing minutes- and action items to attendees. Coordinate and execute any follow-up action plans.
- Own follow-up and coordination on resident issues that escalate to the COO to ensure full team of the COO is appropriately and actively engaging in follow-up action and communication to deliver leading Resident Experience.
- Conduct research, prepare data, compose reports, maintain data, provide feedback and administrative support for projects as assigned by COO and chief-of-staff to the COO.
- Prepare PowerPoint decks for management and board meetings, including collecting information from contributors in a timely manner, professional formatting, and organization, verifying information for accuracy and logic, and distributing to constituents.
- Coordinate meetings and logistics for designated groups or committees, including events that support team member engagement.
- Identify opportunities for meeting, communication, process efficiencies for greater effectiveness
- Perform general office duties, such as ordering supplies, completing expense reports, and arranging travel plans.

WORKING CONDITIONS
- Primarily working indoors, office environment.
- May sit for several hours at a time.
- Prolonged exposure to computer screens.
- Repetitive use of hands to operate computers, printers, and copiers.
- Requires working non-standard business hours at times to complete urgent work tasks needed by executive leaders.

REQUIRED EDUCATION AND EXPERIENCE
- High School Diploma or equivalent
- High proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), SharePoint, Concur, UKG or other HRIS, DocuSign, etc.
- Minimum 5 years of experience in an executive administrative role
- Proven record of accomplishment of supporting two or more c-level executive leaders within fortune 100 companies
- Proven ability to effectively interface with senior leaders
PREFERRED EDUCATION AND EXPERIENCE
- Bachelor’s degree in business, administrative support, or related field
- Experience supporting project management positions
- Experience in Technology or Property Management industry
- Experience in a fast-paced environment, high-growth company
REQUIRED KNOWLEDGE
- Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography, and transcription, designing forms, and other office procedures and terminology.
- Administration and Management— Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
