Smarsh is seeking a Sr. Executive Assistant to shine in one of the most important roles in our organization. This role contributes directly to the success of both our CEO and the company by providing world class executive administrative support.

What will you do?

  • Manage professional and personal scheduling for the CEO, including agendas, meetings, client event management, and other logistics. Prioritize meetings and manage competing demands on our CEO's availability so the CEO can focus on the job of driving our company to even higher levels of growth and success.
  • Coordinate, in a proactive manner, complex scheduling and calendar management, as well as content and flow of information, to the CEO. 
  • Perform day-to-day administrative support services such as meeting schedules and facilitation, travel arrangements, expense reports, and other services.
  • Manage CEO’s travel logistics and activities including accommodations, transportation, and meals. 
  • Communicate effectively and as required to positively reflect the goals of the company and the best interests of the CEO.
  • Partner with Marketing and Communications teams to draft, review and send communications on behalf of the CEO.
  • Support smooth departmental operation during our CEO’s absence. Maintain communication with our CEO during periods of travel to prioritize communication, provide relevant updates, and facilitate or make timely decisions as knowledge permits.
  • Plan and produce onsite and offsite meetings for the C-Suite and Board of Directors. Responsibilities include securing the meeting location, managing attendee communication, agenda publishing, room layout, attendee travel, onsite catering, A/V services, meeting materials and supplies, expense reporting and event budget management, and any other related services. Responsible for planning, communicating, hosting, and handling day-of logistics and event. 
  • Coordinate events hosted at local Smarsh locations as well as off-site events. Support smaller scale employee events taking place at the local office. 
  • Other duties as assigned include supporting other departments or executives as needed.

  • HS Diploma
  • 15+ years of executive administrative support, worked alongside CEO for 5+ years
  • Superior interpersonal skills & the ability to build relationships effectively
  • Demonstrate a high degree of confidentiality 
  • Represent the company to external contacts on behalf of the CEO and C-Suite
  • Expert knowledge of MS Office 365
  • Prioritize & execute assignments in a fast-paced environment
  • Resolve problems by using exceptional judgment
  • Work with a diverse team of people with different management styles
  • Excellent verbal & written communication skills
