We are currently looking for a Sr. Records Coordinator to join us in our mission to save lives and prevent injuries.

Position Highlights:

Service to out-of-state and special needs students. Communicate with training centers, students, and state agencies with attention to promptness, professionalism/sensitivity, and meeting regulatory requirements. Accurately input class schedules, audit & batch classes, and complete data entry of student records for multiple state programs. Run audit reports to ensure data entry service levels are met. Process class completions. Enter orders and renewal participation records in Salesforce with attention to accuracy. Communicate with prospective students in a call center environment with multiple queues; assist with escalated calls. Use analytical skills to recommend changes to processes to drive efficiency. Navigate multiple NSC and/or state systems accurately ensuring data and process integrity. Assure, at all times, DMC meets regulatory compliance. Complete other duties as assigned; serve as substitute for other department staff as required.

What You’ll Do:

Call Center Customer Service – 50%

  • Answer incoming telephone calls from multiple calling queues in the call center environment to include providing program and schedule information; researching and resolving complex enrollment/completion problems; registering students into classes; processing live credit card payments; screening and routing calls if necessary.
  • Research and resolve complex customer issues/problems and communicate results.
  • Field support calls, chat, email, and/or other communication from customers.
  • Provide Level 2 customer support via escalated phone calls, chat support, and email.

Administrative/State Program Support – 50%

  • Accurately complete data entry of student records; run reports to balance. Contact training centers to resolve discrepancies. Assure regulatory compliance at all times.
  • Audit accuracy of data entry of direct training student records; initiate IT tickets as needed.
  • Process class schedules, audit class paperwork, batch class records, and financials in Business Systems.
  • Run system-built audit reports as necessary to assure regulatory compliance on schedules, class paperwork, data entry, etc.
  • Prepare bank deposits for state programs.
  • Support month-end processes with attention to contractual deadlines.
  • Maintain current knowledge of regulatory requirements; assure excellence and compliance at all levels of program service.
  • Work cooperatively with program staff to develop and maintain a current manual of regulations and procedures.
  • Communicate with training centers and instructors on a variety of matters verbally and in writing, ensuring promptness, professionalism, and adherence to business writing standards; resolve customer concerns.

We’re Looking for Someone with: 

  • High school diploma and at least 1 year of general office or customer service experience.
  • Associate’s degree preferred.
  • Strong customer service and team orientation.
  • Data entry accuracy and integrity.
  • Bilingual (English/Spanish) desired.
  • Experience with Microsoft Office.
  • This is a hybrid role with three days in the office and two days remote.
  • Salary is $20/hr
