Sr. Talent Acquisition Administrator

Cytokinetics is a late-stage biopharmaceutical company focused on discovering, developing, and commercializing first-in-class muscle activators and next-in-class muscle inhibitors as potential treatments for debilitating diseases in which muscle performance is compromised and/or declining. The Senior Talent Acquisition Administrator plays a pivotal role in supporting and optimizing our recruitment program. This multifaceted position entails managing various processes and programs, including candidate coordination, offer letters, pre-employment and onboarding, early career talent recruitment, and immigration support. The ideal candidate is organized, detail-oriented, and committed to providing an exceptional candidate experience.

Responsibilities

Recruitment Process Support – 50%

• Manage requisition administration in Greenhouse ATS, including requisition creation edits, posting, and closing.
• Serve as the primary liaison for external counsel regarding immigration-related inquiries and processes. Collaborate closely with the Associate Director, Talent Acquisition to ensure smooth immigration procedures.
• Work in partnership with our Research team to assess program needs and develop a comprehensive strategy. This includes defining target personas, strategic planning, project timelines, and supporting resources. Oversee the entire Post-Doc candidate selection process, from identification to onboarding.
• Collaborate with vendor partners to facilitate contractor onboarding. Manage purchase orders and invoicing to maintain seamless operations.
• Identify and coordinate college campus and in-house recruiting activities, such as open houses, career fairs, and speaking engagements. Ensure that the program aligns with Diversity, Equity, Inclusion, and Representation (DEIR) strategies.
• Schedule, monitor, and communicate pre-employment background checks and drug testing results. Escalate any discrepancies as necessary.
• Handle all aspects of financial processing, including expenses, purchase orders, invoices, and recruiting fees.
• Assist in managing the Talent Acquisition content on our internal site, ensuring that it remains up-to-date and informative.

Candidate Management – 50%

• Efficiently manage all aspects of the candidate interview process. This includes scheduling, travel arrangements, expense tracking, and the preparation of interview materials. Ensure seamless resource and room allocation, and set up teleconferences and video conferences as needed.
• Maintain and update candidate information and progress in our Greenhouse Applicant Tracking System. Ensure data accuracy and consistency.
• Prioritize a positive candidate experience by delivering timely and professional communication throughout the hiring process. Be a valuable point of contact for candidates, addressing their inquiries and concerns.

Qualifications

• Associate degree in Human Resources, Business Administration, or equivalent with 7+ years of experience in Human Resources, Talent Acquisition OR equivalent combination of education and experience. 
• Experience with an Applicant Tracking System, preferably Greenhouse. 
• Experience with scheduling and calendar management.
• Proven experience providing outstanding customer service to candidates, stakeholders, vendors, and other partners. 
• Demonstrated problem-solving skills and proven experience managing competing deadlines under pressure while maintaining accuracy and strong attention to detail.
• Proficiency with Microsoft Office, including Outlook, Word, PowerPoint and Excel.
