We have an opportunity at our corporate offices in Chicago for a Staff Accountant II on our Finance team. This is a hybrid position reporting into our Chicago, IL office requiring 3 days a week in the office
As a Staff Accountant II you will process AMA Membership payments via Direct Cash Receipts, Lockbox, Weband various group membership processes. This role will analyze records, open receivables,prepare periodic reports and investigate and process refunds of overpayments.
RESPONSIBILITIES:
Direct Membership Processing
- Post membership payments received through lockbox, cash receipts, wire transfers, cash transfers, and direct mail; research resolve and post lockbox exception and errors
- Resolve product code, partial pay, overpay errors, and other system/vendor errors
- Manage mail correspondence regarding members' accounts, including unidentifiable checks and address changes; respond to telephone calls and emails received from physicians
Group Membership Processing
- Follow established procedures for the posting of group membership rosters
- Monitor email proxy boxes and respond to inquiries
- Provide customer service to State/County Medical Societies, student recruiters, internal and external staff
- Maintain records and logs of work performed
Accounts Receivable & Collections Support
- Research and coordinate resolution of check payment exceptions received by 3rd party lockbox processor
- Assist AR with resolving unapplied cash and credit balances on customer accounts
- Process refunds for overpayments from groups
- Conduct initial collection efforts for member invoices past due and record all interactions with customers
Other Accounting Functions
- Process nonstandard transactions including NSFs, partial payments, and overpayment
- Reconcile and resolve any discrepancies between membership subsystem and ERP receivables and general ledger
- Responsible for commission and incentive bonus accrual, reconciliation, and payment processes
- Conduct periodic audits of 3rd party lockbox processor
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree in Accounting, Finance or other business areas required, Accounting preferred.
- Minimum of 2 years' experience processing payment transactions in a high-volume setting, providing customer service, accounting/bookkeeping experience combined with collections experience is strongly preferred
- Highly proficient with Microsoft Office including Excel, and Word as well as exposure to financial software packages a plus
- Strong planning and organizing skills required, must meet commitments and deadlines
- Demonstrated ability to troubleshoot issues and to learn new software applications
- Excellent communication skills and the ability to work effectively with all levels of staff and management
- Extended hours may be required during closing periods and peak season
