STRATEGIC MEETINGS & CONGRESS MANAGER

Role is remote within the US

Job Summary

The Meetings and Congress Manager will report to the Team Lead of Strategic Meetings & Congress Manager as well as the Director of Event Services. They will partner with Meetings & Events vendors to ensure proper planning and execution of all OPEN Health Group events. This role is primarily responsible for handling all event logistics for Congress/Meeting Programs, Advisory Boards, National Sales Meetings, Speaker Training Meetings and other ad-hoc meeting requests aligned to a client in the pharmaceutical industry.

Essential Duties & Responsibilities

Congress & Meeting Managers must conduct the required research, establish expected outcomes, and produce outlines of events, including attendees, participants, or contributors. This is where the logistics and organizational needs are determined along with the necessary resources required to create the final event.

  • Organizing programs, including developing RFPs, budgeting, handling contracting and negotiations, site selection, rooming for attendees, and meeting specifications (e.g., menu planning, logistics, audio visual, space assignments, signage)
  • Strong experience in CVENT to include site search/sourcing, web-builds and Housing/registration & reporting is a must
  • Strong congress experience as it relates to sponsorships, booth management, badges, housing/food & beverage, KOL touchpoints, schedules, on-site pre-con and working closely with the associations
  • Providing on-site support by overseeing all details of the program including attending pre-con, advancing all functions, verifying room set-ups, reviewing banquet checks/master bill, special events, ground transfers, VIP needs, meeting materials
  • Ensuring all related data and documentation are captured; for example, all meeting data must be entered in meeting software and trackers, including savings, final attendee registration, budget reconciliation, and compliance reporting to ensure proper recordkeeping
  • Analyzing meeting data (e.g., hotel, registration, and travel reports) by comparing guaranteed numbers against actuals for rooms and food & beverage to ultimately determine a meeting's cost-effectiveness. Using this data to maintain best practices and/or to suggest more cost-effective methods for future event planning
  • Completing post-event summary reports for all events to ensure meeting objectives were met, identifying strengths and weaknesses related to the meeting design process, establishing history, and providing recommendations for future programs
  • Collaborating with cross functional teams and manager a Strategic Meetings & Congress Coordinator

Experience, Skills, and Qualifications

  • Bachelor's degree
  • CMP certification, preferred
  • 3+ years of related congress & meeting experience
  • Proficiency in MS365 including Word, Excel, PowerPoint, Outlook, and Teams; experience with CVENT experience is a must
  • Aptitude for the English language and excellent written and verbal communication skills
  • Ability to make clear, concise decisions and proactively identify problems that may impact the workflow or end deliverables for our clients, along with any details that may impact travel and accommodations
  • Ability to organize, plan and prioritize work in a fast-paced work environment
  • Ability to manage multiple and sometimes competing challenges, issues, and priorities with the ability to delegate, problem-solve, and set clear expectation
  • Must be able to lift and carry a minimum of 30 pounds and physically participate in the movement, set-up, and storage of event related items/materials

Travel Requirements

  • 30% travel is required both domestic and international
  • May require evening and weekend hours as business dictates
  • Role is remote within the US; hybrid from an OPEN Health physical office when possible
