POSITION SUMMARY

The Transfer Agency Investor On-Boarding Representative primary duty is to review investor documentation prior to the account being opened.

The Representative also has to contact investors and bank clients in order to obtain documentation. He/she will also have to handle queries raised in this context.

PRINCIPAL RESPONSIBILITIES

1. Client Service

  • Build and maintain an excellent relationship with the clients and their shareholders.
  • Prepare and review investor files to open accounts.
  • Log investors in ECMS, Maintain static data and produce various reports.

2. Process/Productivity

  • Communicate professionally and constructively to effectively address and resolve issues with other sections and departments.
  • Update procedures as needed.
  • Ensure adherence to all established procedures and controls such as Know Your Customer Due Diligence, money laundering and terrorist financing prevention and banking secrecy.
  • Prepare monthly management reports.
  • Participate in the TA IOB Team daily work.
  • Act as an example of knowledge and experience to the Transfer Agency Representatives.
  • Prepare files for internal and external audits
  • Track Team KPI and report to Management
  • Prepare documents for scanning and archiving
  • Scan and archive documents in ECMS
  • Review and assess complex investor documentation, such as Articles of Incorporation, Trust Deeds

KNOWLEDGE, SKILLS AND ABILITIES

  • BA/BS degree in a business related field, and/or equivalent work experience.
  • Degree in Legal or similar field is considered an advantage
  • Minimum of two years of experience in Transfer Agency environment.

Knowledge and skills (general and technical)

  • Aptitude for documentation management, accuracy and organization.
  • Ability to work quickly and accurately under pressure.
  • Ability to communicate effectivly with others.

Other requirements (licenses, certifications, specialized training, physical or mental abilities required)

  • Knowledge or experience of Multifunds is an advantage.
  • Strong English, oral and written
  • Second language essential.
  • Third language an advantage
  • Attention to detail
  • Strong administrative skills and ability to handle multiple tasks/requests at the same time
  • Ability to interact with Senior representatives of our clients such as Head of Compliance, Client Service Managers, Sales Managers
