Job Description
POSITION OVERVIEW:Â
The Talent Coordinator is primarily responsible for providing comprehensive administrative support to the talent acquisition team including job postings, scheduling phone screens and interviews, database management, document creation, and meeting coordination. This is a critical role as you will help us hire effectively and keep our hiring process running smoothly. If you have experience in recruiting and you are an excellent organizer and communicator, we would like to meet you. This position is hybrid and will office in our Downtown Dallas HQ location.Â
PRIMARY RESPONSIBILITIES:Â
- Build and maintain relationships with candidates and hiring managers throughout the recruitment lifecycle by scheduling candidate interviews (phone, video, in-person) including travel, and communicating details and necessary information.Â
- Coordinate and facilitate timely communication between candidates, hiring managers, and the HR team.
- Maintain the ATS to track candidate progress throughout the hiring process. Input and update candidate information, resumes, and interview feedback. Ensure data integrity on all requisitions.Â
- Contribute to employer brand by ensuring accuracy and consistency of job descriptions. Post the jobs on the career page and various other job boards and platforms, including social media.
- Monitor job postings to maximize exposure and attract qualified candidates.
- Respond to candidate and hiring manager inquiries in a timely manner.
- Coordinate the issuance and tracking of automated applicant evaluation tools such as Culture Index Surveys and maintain index database for Jobs and Org Charts.
- Create and or send offer letters to candidates and HR.
- Generate reports and metrics to support recruitment analytics, decision making, and to monitor and analyze key performance indicators.
- Become Subject Matter Expert on recruiting tools and technology such as LinkedIn and Smart Recruiters (or comparable ATS).
- Stay up to date on recruiting related laws and compliance such as EEOC compliance and Pay Transparency.
- Assist with special projects such as documentation of department procedures and maintaining documents in a shared directory.
- Identify trends and provide insights to enhance recruitment strategies and processes.Â
- Support the National Head of Talent and the team as needed.
Qualifications
KNOWLEDGE / SKILLS / EXPERIENCE:Â
- 3+ years of experience in a team environment, preferably in human resources, staffing, or recruiting industry.
- Prior administrative experience in a corporate office environment.
- Strong verbal and written communication abilities; Practical interpersonal skills.
- Proficiency in Microsoft Office (Outlook, MS Teams, Excel, MS Word, PowerPoint) to include the ability to coordinate and schedule using Outlook and MS Teams.
- Experience with multiple office tools such as Adobe Suite, PowerPoint, SharePoint, and Applicant Tracking Systems.
- Ability to maintain confidentiality and appropriately manage sensitive information with tact and discretion.
- Experience with social media, particularly LinkedIn, Facebook, Glassdoor.
- Ability to work with and support colleagues across various time zones.
- Collaborative with the ability to flex in support of timelines, and deliverables.
- Experience working with colleagues at various levels of an organization.
- Strong attention to detail and customer focus, especially in delivering high-quality results.
- Highly organized with strong follow up skills and the ability to prioritize and multi-task.
- Able to think critically to solve complex, time-sensitive inquiries and data issues.
