Summary

Oversees assigned projects within Product vertical, ensuring success. Executes handoff of from the Product Development department and prepares the rest of the company to sell, service, and support the new feature within the Virtual Terminal. Coordinates with stakeholders to identify business requirements. Assigns research, milestones, and tasks to appropriate team members or vendors based on resources and time frame needed. Proactively works with others, based on skillset and availability, to reduce potential creep. Makes effective decisions when roadblocks arise. Communicates to all stakeholders regarding project updates, timelines, and budgetary concerns. Evaluates effectiveness of projects and adapts as needed.

Duties & Responsibilities

Essential Functions

  • Facilitates the rollout of new product features as they are launched by the Product Development department. Ensures Product Development can focus on maintaining the product, while the Project Manager oversees all the tasks to prepare the company to sell and service the feature.
  • Understands the Product roadmap and anticipates how each feature rollout can be accommodated with other active projects.
  • Understand project goals and objectives as they relate to the company's business strategy and long-term needs.
  • Manages all aspects of projects from planning through closing tasks and provides regular communication of status to stakeholders.
  • Builds multi-functional teams for projects including operations, customer experience, marketing, sales, technology, product, finance, and IT, to define the overall scope of project and effort required.
  • Serving as a point of contact for teams when multiple areas are assigned to the same project to ensure productive collaboration.
  • Creating long and short-term plans, including setting targets for milestones and adhering to deadlines.
  • Through partnership with staff and impacted departments per project, defines Key Performance Indicators per project. Prepares measurements for these KPIs.
  • Consistently manage and deliver high priority technically complex projects to ensure completion on time within the agreed scope and to the agreed plan.
  • Work with cross functional project teams to provide a coordinated and collaborative approach to New Product Development
  • Create detailed work plans for assigned projects which identify and sequence the activities needed to successfully complete each project and establish the resources (time, money, capital equipment, etc.) required to complete project activities.
  • Work with technical teams to ensure that technical workstreams are planned and integrated into master schedules.
  • Provide updates on the progress of all projects/programs within remit to the Manager and review project schedules with senior management and project team members; revise schedules/plan as required to ensure successful completion.
  • Determine the objectives and measures upon which projects will be evaluated at completion.
  • Identify roadblocks and develop mitigations to ensure resolution with cross functional collaboration. Escalate issues appropriately.
  • In consultation with senior management select staff with appropriate skills & competencies for project activities where appropriate
  • Develop forms, records and work to document project activities.
  • Establish a communication plan to update stakeholders.
  • Run risk review sessions and build mitigation plans with cross functional teams to ensure levels of risk are effectively mitigated and risk status is accurately communicated to stakeholders.
  • Ensure the quality of work completed by the project team meets company standards.
  • Ensure that all project personnel receive an appropriate orientation to the organization and the project.

Additional Responsibilities

  • Reviews incoming Project requests and gives input on acceptance, priority, scope, and relationship to existing projects to Manager for final revise.
  • Adjusting schedules and targets on the project as business needs or financing for the project change
  • Proactively identifies project issues and collaborates with team members to initiate solutions and communicate resolution plan to all stakeholders
  • Making effective decisions when presented with multiple options for how to proceed with the project
  • Uses impartial reasoning to minimize conflict between teams and keep project members on target
  • Escalate issues when appropriate
  • Delegating tasks on the project to employees best positioned to complete them, including Project Coordinators and Project Associates
  • Mentors Project Coordinators and Project Associate
  • Maintain project documentation including requirement gathering, change longs, status updates, meeting notes, and retrospective findings, delegating related administrative work to Project Coordinators or Project Associates
  • Performing quality control on the project throughout development to maintain expected standards
  • Provides concise and appropriate feedback on project contributors or internal processes to appropriate management
  • Communicating with leadership to keep the project aligned with their goals
  • Ensures all project deliverables are completed to specifications and approved by all appropriate stakeholders
  • Ensure that projects are delivered on time, within scope, and within budget. Avoids project creep.
  • Research and manage vendors, holding them accountable to on-time delivery of services within budgetary guideline
  • Contributes to resource planning, evaluating staffing needs across departments, working with leads to prioritize work, fill resource gaps, and anticipate future resource needs

Requirements

Education & Experience

  • Associate's or Bachelor's Degree Preferred
  • A minimum of 4 year experience in a financial institution or Project Management required
  • Strong Communication Skills Required
  • Proficiency in Microsoft Office Suite, CRM
  • PMI Certification Preferred
