Temp-to-Hire Administrative Assistant

Technology excites you - you are well versed in a variety of different platforms, including Trello, Microsoft Office Suites, Miro, Mac Os, Google (Gmail, Docs, sheets, etc), and Slack. Confidentiality is a personal core value, and you have several years of experience handling sensitive information with respect and discretion.Â
RESPONSIBILITIES
- Coordinate and accurately maintain our CEO’s complex calendar, proactively address potential scheduling conflicts, and help prioritize demands on the CEO’s time.
- Calendar management of the Managing Director, which includes robust meeting schedules, making travel arrangements, and maintaining up-to-date contact lists.
- Schedule internal meetings and external meetings while proactively balancing global time zones.Â
- Prepare daily informational itineraries to prepare our CEO for meetings and travel.
- Manage CEO correspondence. Prepare executive responses to routine memos, letters, and correspondence.
- Plan and organize meetings, prepare and distribute agendas and materials, and make logistical arrangements when needed.
- Research dining and entertainment recommendations, and make reservations. Provide directions and information about local points of interest as needed
Requirements
SKILLS & EDUCATION:
- 5+ years of administrative experience supporting executive and senior-level management requiredÂ
- Strong interpersonal skills and ability to establish and maintain effective working relations with people in a multicultural, multiethnic environment with sensitivity and respect for diversity.
- Detail-oriented and ability to multi-task and work independently.
- Ability to solve complex issues in an ambiguous environment.
- Effective management of time and resources. The ability to be a self-starter, creative, detail-oriented, flexible, and proactive member of the team.
