Temporary People Operations Coordinator

Job Summary

Kairos Power is seeking a motivated, experienced, and knowledgeable Temporary People Operations Coordinator, who will work under the supervision of the People Operations Director. This role will be responsible for supporting the People Operations department with the day-to-day operations including Onboarding, Benefits, Timekeeping, HRIS, Data Analytics and Leave Administration.

Responsibilities

General

• Act as first point-of-contact for employees on People Operations matters and general inquiries, and direct employees requests to the appropriate People Operations staff as needed
• Support the administration of Kairos Power’s benefits programs, open enrollment process & communication
• Create, maintain and update electronic HR files for all active employees, including employee medical files and coordination of medical reviews
• Support Leave of Absence program to ensure compliance with polices and legal requirements
• Responsible for overall data integrity of employee and employment records in HR and benefits systems
• Support filing of Benefits tax returns and required audits
• Assist with managing EOI coordination with employees and benefits providers
• Compile data analytics and reports such as EEO-1 and DFEH reporting
• Support our immigration program and handle employee and/or candidate inquiries on immigration sponsorship matters
• Partner with Accounting to support payables related to People Operations and support timekeeping system through education and employee and management requests
• Have understanding and working knowledge of people related policies, and assist in interpretation of such policies and standards to all levels of the organization
• Manage inbound physical mail for the People Operations team; delegate and distribute as needed.

Onboarding & Employee Support

• Responsible for new employee onboarding including new hire orientations
• Conduct background checks and verify work eligibility through E-Verify and I-9 process
• Coordinate with IT and TA teams to ensure new employees receive proper equipment
• Ensure employees are enrolled in benefit plans and follow-up with broker to make needed changes and updates
• Support the coordination and implementation of various off-boarding tasks
• Take an active role in ensuring an exceptional onboarding experience
• May assist with expense reporting for HR team, as needed

Qualifications 

• Bachelor's Degree in related field (Human Resources, Business, or Communications) or equivalent combination of education and experience preferred
• 5+ years of Human Resources experience
• Knowledge and skills related to HRIS, labor laws and regulations
• Comfortable creating reports and data analytics
• Ability to manage multiple projects at once with strong attention to detail
• Sense of urgency with follow-up on issues brought to HR’s attention
• Ability to interface with highly technical staff, employees and management
• Strong knowledge of Microsoft Office – Outlook, Excel, Word, PowerPoint
• Ability to work with highly collaborative team
• Ability to solve problems quickly and efficiently
• Prioritizes and ensures safety of one self and others
• Ability to proactively collect, manage and transfer knowledge
• Ability to seek different and novel ways to create efficiencies when working on problems, challenges and issues

Physical Conditions

The hourly range for this position is $37.55 to $44.18 for employees working onsite at our Alameda, CA headquarters. The range provided in this job posting represents the typical range or starting rate of candidates hired in California.  Factors that may be used to determine your actual salary may include your education, experience, knowledge, skills, abilities, the market data for your work location, and a comparison to other employees already in the role.
