Job Summary

The Total Rewards Coordinator provides support to the Total Rewards functional area by assisting with various Total Rewards processes and activities, such as onboarding, employee life cycle changes, compensation activity, HRIS reporting, and invoice processing, and performing other support duties. The Total Rewards Coordinator may also provide support to the Human Resources Business Partners or other functional areas within the Human Resources team.

This position reports to the Manager, Payroll & Benefits. 

Duties and Responsibilities

  • Prepare necessary documentation for and follow all internal processes related to new, changing, or terminating employees or contractors.
  • Maintain employee files; ensure all documentation complies with internal audit guidelines and applicable record retention standards.
  • Update Total Rewards documents and resources on the employee intranet or Share Point site.
  • Assist with creating reports, dashboards, and/or pulling data from the HRIS or other data sources for key stakeholders.
  • Assist with various onboarding tasks, including completing I-9 forms, entering and reviewing new employee data in the HRIS, etc.
  • Administer employee recognition activities through the recognition platform.
  • Support compensation activity as needed, including basic reporting, preparing compensation sheets or other documentation, etc.
  • Assist with internal audits or other external reporting requirements related to the Total Rewards function.   
  • Process invoices to ensure timely and accurate payment to vendors.
  • Respond timely to employee questions or other customer service issues related to Total Rewards programs and administration.
  • Serve as the back-up presenter for the Total Rewards portion of new hire orientation or other trainings.
  • Cross-train with coordinators from other functional areas to serve as their back-up for key activities.
  • May serve on employee-led engagement committees.
  • May perform other administrative or support duties as assigned.

Experience and Education Requirements

  • Bachelor’s degree preferred.  In lieu of degree, a high school diploma or equivalent plus a minimum of 3-5 years prior experience in administrative support activities. 

Skills and Abilities

  • Excellent software skills including working knowledge of Outlook, Word, Excel and PowerPoint required. ADP or other HRIS experience preferred.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Ability to understand objectives of work assigned in order to revise/adjust workload to address and prioritize immediate needs.
  • Friendly but firm personality to keep stakeholders on track with agreed upon objectives and procedures.
  • Ability to be proactive, and to continually think ahead.
  • Requires an ability to handle sensitive information in a confidential manner.
