Position Description

The Trade Show & Events Marketing Coordinator will be responsible for managing the trade shows and events attended or hosted by Homecare Homebase during the calendar year. Tradeshows include the various state/regional events that occur around the country throughout the year, the small "national" shows hosted by NAHC and NHPCO and the Annual NAHC Meeting occurring each October. Events include the annual Homecare 100, Lincoln Technology Show, Sales Events, and various small team events throughout the year.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Responsibilities for the Trade Show & Event Coordinator can vary, but should include:
  • Independently manage 10-15 small trade shows; 3+ medium trade shows per year; and one large annual trade show (NAHC).
  • Management includes:
    • Developing timeline and plan for each show,
    • Developing a communication plan for each show in conjunction with Lead Generation Team,
    • Management of the sales staff attending each show,
    • Design/development of necessary materials for each show with the assistance of the broader marketing team,
    • Development/execution of logistics plan for each show,
    • Pre-show and post-show meetings/follow-up with sales, etc.
  • Measurement and reporting of success of each event is required. This should include a post-show download/meeting with the sales attendees, lead input into the CRM tool, and coordination with BDR team on lead follow-up. Lead reports to be provided to Director of Lead Gen Marketing on a monthly basis.
  • Financial Management of each event will include:
    • Contracts with facilities and suppliers,
    • Making sure all aspects of show fit into proposed budget and reconciliation of that budget after each show.
  • Must establish and maintain strong professional relationships with various trade organizations and trade show vendors.
  • Develop and execute annual training plan for sales team as it relates to trade show attendance, attire and execution of the trade show materials on site.
  • Management of show materials and inventory at HCHB, including tracking and storage of all materials and inventory of all items at HCHB HQ.
  • Must be flexible and willing to attend/travel to shows as needed.
Responsibilities for the events vary by event but include:
  • Planning and research of event venues for all major events - including, but not limited to:
    • HC100
    • Lincoln Technology Show
    • NAHC Annual Meeting - VIP Event
    • NAHC Financial Management Conference
    • NHPCO Leadership Event
    • Sales Events
Planning includes initial venue research and negotiations and presenting options to senior Sales & Marketing team for approval. Once venues are secured will work closely with the various locations to manage menus, logistics and costs as they relate to the overall event budget. Includes coordination and management of any third-party or outside vendors related to the event, including, but not limited to transportation, entertainment providers, creative materials/printing, etc.

In addition to managing and coordinating various events and trade shows as outlined above, the Trade Show & Events Marketing Coordinator will participate in weekly status meetings and provide updates on all assigned projects, as well as monthly budget updates to the overall sales and marketing annual budget and reconciliation of the budget after each project.

REQUIRED SKILLS:

The Trade Show & Event Marketing Coordinator should be a detail-oriented, organized, self-starter who can balance many ongoing projects. They should be able to develop project schedules and manage team members to stay on schedule to meet necessary deadlines. They should be able to report on status of their ongoing projects or tasks as requested and provide routine updates to the Director of Lead Gen Marketing. They should be able to manage budgets for assigned projects and facilitate invoice approval for these projects. They should be adaptable and able to manage other projects as assigned. They should have good written and verbal communication skills and be comfortable with all aspects of business computing and typical software programs.

EXPERIENCE:
  • 4-year degree in business, marketing or communications or equivalent related experience.
  • 3+ year's office experience supporting and managing a sales, marketing or communications team, specifically as it relates to trade shows and events. Preferred that they have had sole responsibility for show logistics and budget management.
  • Comprehensive knowledge of Microsoft Office Products (Word, Excel, Power Point, and Outlook) is a must. Additional experience in Microsoft Share Point a plus.
  • Must be comfortable adapting to other software tools through training and maintaining a working knowledge of those tools.
  • Must be comfortable using UPS Shipping Tools and working with Freight companies to arrange shipments, etc. of materials to and from the office.


HCHB requires all applicants to be US citizens or have a green card allowing them to work in the US without being subject to export control restrictions.
