Responsibilities
Position Summary
The Transcription Coordinator is responsible for ensuring timely and accurate transcribed medical record reports file into appropriate patient encounters for inpatient, MSO and outpatient clinic locations and are available for continuity of care and documentation of medical treatment, tests and services provided at the Client facility. The Coordinator assists clinical providers with access, workflow and appropriate report type use, assists hospital and clinic personnel with ensuring reports cross into the EMR to the correct patient and encounter, testing and troubleshooting of the dictation/transcription hard and software, and serves as the primary liaison for dictation and transcription for hospital and clinic. The Coordinator performs quality assurance reviews; reviewing vendor quality reports, performs voice file to transcription file audits and adhoc audits as needed or requested.

Duties and Responsibilities
- Uphold Guidehouse values, conduct self ethically and with best interests of Client and Guidehouse in mind at all times.
- Ensure positive working relationships between Client and Guidehouse as a key leader for Client site(s).
- Use appropriate discretion to discover, investigate, escalate and address information and issues, including audience selection, communication method(s) and style.
- Primary point of contact for dictated and/or transcribed jobs with issues
- Primary point of contact for transcription related workflow issues
- Submit and track Vendor and/or HSIS tickets for workflow or transcription job issues as needed; appropriately resolve and/or escalate issues to HIM leadership, Vendor or HSIS
- Create and maintain flow diagrams and procedures for transcription workflows utilized in this role or by other roles that oversight is required
- Assist with reviewing and resolving eScription Staff Review queue for jobs that need issue resolution prior to distribution to IMPACT
- Assist in combining addendums with original transcribed document for inpatient reports and re-distribute for Provider signature in Billing Assist
- Assist with correcting encounter issues within the eScription platform prior to distributing to IMPACT
- Maintain the Distribution Lists for
- UAB eScription Dictation Group
- UAB eScription Downtime
- UAB eScription Surgeons Only Dictation Group
- Grants access/setup/configuration for new providers in eScription One production system (Inpatient, MSO & Outpatient Clinics) and the backup system, Bytescribe(Inpatient only) obtain appropriate approvals prior to granting access for MSO and outpatient clinics
- Educate Providers regarding workflow processes as needed
- Coordinate transcription invoice review and approval with billing location contacts; invoice information provided to contacts on the 10th of each month
- Performs adhoc QA reviews as requested
- Examples include: listening to voice files and reporting errors to the Vendor in order to correct quality complaints from the clinic
- Completes random Quality Assurance audits
- Assist in eScription testing, ORU/MDM workflows for Cerner code upgrade events
- Assist in testing vendor test system to Cerner ABUILD or MOCK for troubleshooting issues from eSOne to Cerner
- Test back up system, Bytescribe, to ensure functionality and availability (Quarterly)
- Assist initiating emergency dictation/transcription solution, Bytescribe, with HIM and HSIS as necessary during downtimes
Education /Qualifications /Experience
- High School Diploma or equivalent required.
- 5+ years experience in a transcription role; preferably working with the application correcting demographic errors and failed files for inbounding reports
- Fluent in medical terminology
- Ability to analyze voice and transcribed files to assess quality and compile/report/present results
- Fluent in Outlook, Excel, PowerPoint, Word
- Excellent time management and prioritization skills
- Constantly operates a computer and other office equipment to coordinate work.
- Usually remains stationary and sedentary for the majority of the day.
- Frequently communicates with clinicians, office personnel, clients and coworkers; must be able to communicate in a positive and effective manner at all levels.
- Ability to deescalate internal/external 'customers'
- Ability to anticipate informational needs and escalate to leadership appropriately.
- Regularly uses close visual acuity and operates computer equipment to prepare, analyze and transmit data.
- Generally, works in an office environment.
