Travel and Expense Coordinator (Boston)

Klaviyo is currently seeking a Travel and Expense Coordinator to serve as a general go-to for activities surrounding US, UK, and Australia T&E processes and procedures. This role will be instrumental in increasing operational efficiency, cross-functionally communication to promote a strong employee experience, and ensuring expense information is submitted/approved in accordance with the expense reimbursement policy. This person must be self-motivated, dedicated, hard-working, and extremely organized.

The Travel and Expense Coordinator will be part of the Finance Organization and work in tandem with the Accounts Payable Team within Shared Services. How you will make a difference:

• Perform initial check of US, UK, and Australia expense reports. Ensure data accuracy regarding expense information and submitted receipts.
• Contact employees for incomplete/inaccurate expense reports. Assist in resolving errors or escalating expenses to attain the necessary level of approval.  
• Perform necessary system updates to ensure approval flows and cost centers are accurate in parallel with the employee organization.
• Respond/triage requests submitted to the Travel and Expense inbox.   
• Tracked employee benefits in external logs. Mitigate reimbursement overages in accordance with benefits offered in Employee Handbook and T&E Policy. 
• Create profiles for new employees onboarded to the organization.

Who you are:

• Intermediate or advanced Excel skills required.
• Experience using SAP Concur or other travel and expense management softwares is a plus.
• Must be able to thrive in a fast-paced, innovative environment including ability to remain flexible, proactive, resourceful, and efficient while interacting with internal and external stakeholders.
• Ability to work collaboratively and effectively with others within and outside of Finance teams
• Excellent communication skills both on the phone and via email
• Must be detail oriented and deadline driven with strong organizational skills.
