A. Role Summary:

As our Travel Coordinator, you'll play a pivotal role in our organization's smooth operation. You'll be responsible for seamlessly managing travel arrangements, administrative tasks, and providing support in crucial areas like attendance management, invoice processing, and visa invitation letter generation. Your dedication will ensure efficient travel logistics, effective administration, and positive interactions with all stakeholders.

B. Tasks/Functions/Responsibilities:

  • Travel Logistics Mastermind:
    • Coordinate and book flights, hotels, and other travel arrangements for employees and guests, negotiating cost-effective deals.
    • Develop and maintain travel policies, ensuring compliance and adherence.
    • Manage travel budgets and track expenses.
    • Liaise with airlines, hotels, and travel agencies to resolve issues and optimize experiences.
  • Administrative Ace:
    • Process invoices promptly and accurately, ensuring timely payments and accurate financial records.
    • Develop and maintain a user-friendly portal page for visa invitation letter generation for employees and customers.
    • Assist with attendance management, ensuring accurate records and reporting.
  • Communication Champion:
    • Maintain clear communication with internal and external stakeholders regarding travel arrangements, policies, and procedures.
    • Liaise with visa authorities to facilitate visa applications and processing.
    • Provide excellent customer service, addressing inquiries and resolving concerns efficiently.

C. Experience and Educational Requirements:

  • Bachelor's degree in Business Administration, Tourism, or a related field.
  • Minimum 2 years of experience as a Travel Coordinator or similar role.
  • Strong understanding of travel logistics and visa procedures.
  • Excellent organizational, time management, and communication skills.
  • Proficiency in travel booking platforms, administrative software, and document management systems.
  • Detail-oriented and highly organized approach to work.
