Flight Itinerary (About The Role)

FLYR is looking to onboard a Travel & Meeting Coordinator to assist FLYR’s global crew with travel, meeting, and internal event planning. The ideal candidate is energetic, articulate, confident, and thrives in a fast-paced environment. 

The position requires experience in travel and hospitality booking and sourcing, contract negotiation, logistics management for travel, meeting, and event planning. 

This role is responsible for providing travel and meeting coordination for FLYRs global crew members. This person should have an exceptional track record and deep-level knowledge of domestic and international travel including airlines, hotels, restaurants, transportation, and creative venue solutions globally.

The Travel & Meeting Coordinator will be a part of the Administration and Operations team and will report to FLYR’s VP, Administration & Operations.

What Your Journey Will Look Like (Responsibilities)
  • Book, manage, plan, and execute internal meetings and events on behalf of FLYR’s global crew members
  • Source appropriate venues and vendors that will capture the vision and objective of the event while also meeting budget, size, and location/date requirements
  • Manage meeting coordination including day-to-day administration, venue, vendor communication, and cross-departmental collaboration as needed
  • Partner with on-site workplace team at global office locations to ensure high-level execution of meetings and events when teams are traveling to FLYR global offices
  • Serve as a single point of contact for travel booking and meeting coordination
  • Advises crew members of and assists with any need for specialized travel documents such as visas or passports
  • In some cases provide on-site support and travel (when applicable) for designated meetings to ensure successful execution
  • Audit and submit all meeting and event-related invoices for processing
  • Post-meeting reporting and reconciliation
  • Frequent interaction and communication with FLYR’s global crew members on project status and updates
  • Make travel arrangements for global crew international and domestic
  • Manage travel & entertainment expense submissions
  • Assist in organizing team/department events & activities as needed
What To Pack For This Trip (Qualifications)
  • Specialized knowledge in travel booking, contracting, organizing, and managing all logistical aspects of meetings and internal events 
  • 5+ years of relevant experience in travel, meeting and event planning
  • Project management - ability to understand scope, create timelines and forecasts and deliver on time to budget
  • Creative thinking - ability to source venues, restaurants, and entertainment opportunities for meetings and events 
  • Excellent communication skills 
  • High level knowledge of international travel, time zones and ability to coordinate with global crew members 
  • Effective problem-solving and negotiation skills
  • Ability to work independently, on multiple projects simultaneously, and under deadlines
  • Ability to handle high volume workload and fast pace
  • Relevant experience in a fast-paced growth-company environment
  • Ability to prioritize schedule demands
  • Strong communications skills
  • Collaborative spirit
  • Proficiency in Google Workspace, Excel, PowerPoint, etc.

Compensation: The salary range for this role is commensurate with experience and is as follows:
$106,000—$124,000 USD
