We're looking for a Travel Support Specialist to join our team, who will be integral in orchestrating comprehensive business travel arrangements, including trip logistics, securing accommodations, and managing documentation and payments
A bit more about the team:
As a Travel Support Specialist, you will be a part of our Internal Support Service. We provide personalized support to drive our organization towards achieving its goals in various areas, such as operations, travel, events, and back-office management. We welcome people with diverse knowledge and points of view, knowing that we grow stronger and find better answers when all voices are heard.
In this role, you will:

• Organize business trips for our team, establish cooperation with external partners on profitable terms considering costs and logistics, select and book accommodation, process necessary documents, arrange payments, form and keep necessary reports, and refine our business travel guidelines
• Organize the process of obtaining the necessary visas for team members, provide consultations to team members, and search for external partners to ensure timely collection and submission of the necessary package of documents.
• Address various team member needs, from emergency assistance to resettlement/relocation support, workspace arrangements, and coordinating accommodations for those traveling on business. According to company policy, organize necessary contract signing and payments or compensations to employees.
• Foster and manage relationships with vendors and service providers, which includes their selection, streamlining contractual processes, and overseeing timely payments and invoicing
  Recommend and implement innovative administrative processes to enhance efficiency
• Produce comprehensive reports on business trip expenditures and participate actively in budgetary processes
• Meticulously maintain our databases, ensuring accuracy across all reports and managing inventory while streamlining office services

Skills you'll need to bring:

• An Upper-Intermediate level of the English language
• Previous experience in administration, assistance, or related areas that demonstrate your expertise and dedication
• Proficiency in tools like Trello, and G-Docs, and an openness to learning Jira + Confluence
• Competency in financial systems, especially when it comes to creating reports. Experience with tools like Airtable or Excel is highly valued
• A foundational understanding of visa application processes, especially for destinations like the USA and UK, will be a plus
